How to Use Autopilot 2.0 for Shared Mailboxes

  • If you are in your shared mailbox and you put an email address on Autopilot 2.0:

    • Subsequent emails to that email address from the shared mailbox will sync to NetSuite if the from email (ie sender email) is set to the email address of the shared mailbox.

    • Future emails to the shared mailbox from the same sender email address will sync to NetSuite.

    • Other users from the same shared mailbox will also benefit and will see the visual cues that indicate the email address has been synced to NetSuite.

  • If you are in your personal mailbox and put an email address on Autopilot 2.0:

    • If that same email address sends an email to the shared mailbox, Autopilot 2.0 will not sync the email.

🚨 Note: The user that put the email on Autopilot 2.0 is the only one who can remove the Auto Association settings.

Troubleshooting License Issues

Because CloudExtend Autopilot is a background process that runs on mailboxes on your Exchange Server a separate CloudExtend licenses is required for your shared mailbox. If a licenses has not been provisioned you will see the message below.

Steps to resolve

Ask your admin to provision a license for your shared mailbox by adding the mailbox name, ie sales@yourcompany.com, in the CloudExtend subscription portal.
