Applying payments using Customer Payment for Invoice and Credit Memo

The ExtendInsights Data Management app, not only helps you create and update records but is also easy to use to apply customer payments.

Explore the topic of how to use ExtendInsights to apply payments to Invoices only.

If you have Invoices and unapplied payments/credits from a customer, you can apply a credit memo against an open invoice and the amount of the credit will be deducted from the total amount due.

Template Layout

💡 Tip: It is best to check out the forms and fields and identify the header, column, and required fields in NetSuite that you may need to build the template.

If you are using NetSuite Classic Interface you can go to:

Transactions > Customers> Accept Customer Payments

  • Tran date

  • Tran Id

  • Customer

  • Payment - Total Amount to be applied(Optional)

  • Undep Funds - set to TRUE or FALSE

  • Ar Acct - Enter the Account Receivable that will be affected (Optional)

  • Account - Enter bank account for payments that have been deposited

  • Memo

  • Apply List: Apply - set to TRUE to apply the payment (Mandatory)

  • Apply List: Doc - internal ID of the Invoice (Mandatory)

  • Apply List: Amount - Amount (Optional. If not added, will apply for full payment)

  • Apply List: Replace All - set to TRUE or FALSE. (Optional. Used for partial payments)

  • Credit List: Apply - set to TRUE to issue credit memo(Mandatory)

  • Credit List: Doc - internal ID of the Credit Memo or Unapplied Payment (Mandatory)

  • Credit List: Amount - Amount (Optional. If not added, will apply for full payment)

  • Credit List: Replace All - set to TRUE or FALSE. (Optional. Used for partial payments)


How to Apply Customer Payments to an Invoice with Credit Memo (One Record)

Knowing the Internal ID of the invoices and credit memo/ unapplied payment is essential when applying for customer payments.

We recommend you load your original Invoice and Credit memo/unapplied payment into ExtendInsights for easy reference and load the customer payment template in a separate tab.

Step 1: Create and Load the Invoice and Customer Payment Template

Template layout to pull the details of the invoice header.

  • Subsidiary

  • Entity

  • Tran Date

  • Tran ID

  • Total

Step 2: Create the Customer payment template based on the template layout

Since you have the Customer Payment template ready, you may use the data downloaded from the invoice and credit memo template by copying and pasting or using formulas to apply for payment.

  • Customer > Entity

  • Undep Funds > FALSE

  • Account > Enter the Account where the payment was deposited

  • Apply List: Apply > set to TRUE

  • Apply List: Doc > Invoice Internal ID

Enter values in the header and Apply List fields.

Then move to the right to add data to the Credit List fields.

  • Send the record to NetSuite, click Upload to NetSuite, and hit the Upload Records button.

Validate NetSuite
