Drill-Down: Exploring Transactions Behind a Balance

Drill-Down: Exploring Transactions Behind a Balance

Drill-down lets you explore the data behind a XAVI formula result. Depending on the formula, you can narrow a balance through supported parameters or view the underlying transactions directly.

The Quick Actions bar provides direct access to Drill Down when you select a supported XAVI formula.

Drill-Down Behavior by Formula

Formula Type

Drill-down behavior

XAVI.BALANCE

Cascading. Select a parameter (dimension, custom segment, custom field, or supported standard field) to generate a narrower BALANCE formula. Repeat in any order until you reach the transaction lines.

XAVI.TYPEBALANCE

Drill directly to the underlying transactions.

XAVI.BALANCECURRENCY

Drill directly to the underlying transactions.

Try Drill Down with a Pre-Built Report

Use a pre-built report to try drill-down before building your own report.

  1. Go to Quick Start.

  2. Select Profit & Loss Report, choose the year, then Full Income Statement.

  3. Click Generate to download the report.

  4. Select a cell containing a supported XAVI formula.

  5. In the ExtendInsights Financial Reporting task pane, go to Quick Actions.

  6. Select Drill Down.

  7. Review the results in the worksheet that ExtendInsights creates.

This is an example to help you get started. You can also drill down on supported formulas in reports you build yourself.

Narrow a BALANCE with Cascading Drill-Down

With XAVI.BALANCE, you can narrow a balance one parameter at a time before viewing its transaction lines. For example, you can filter by department, then location, then a custom field.

Supported parameters include:

  • Standard dimensions, such as subsidiary, department, location, and class

  • Custom segments

  • Custom fields

  • Other standard fields supported by Financial Reporting

To cascade through parameters:

  1. Select a cell containing a XAVI.BALANCE formula.

  2. In Quick Actions, select Drill Down.

The drill-down transaction sheet will open on another tab.

  3. Now, select a cell that contains a XAVI.BALANCE formula from the transaction sheet generated.

  4. In Quick Actions, select Drill Down.

  5. Select a parameter and value. ExtendInsights generates a new BALANCE formula for that selection.

  6. Select the new BALANCE result and drill down again to apply another parameter.

  7. Repeat as needed, then drill down to view the underlying transaction lines.

You can select parameters in any order. Each intermediate step creates a standard XAVI.BALANCE formula that you can copy into your report, refresh, or drill down on again.

Filter a Formula Using the Fields Parameter

You can also use a standard or custom NetSuite field to filter the data returned by a XAVI balance.

The XAVI formula must reference a worksheet cell in its Fields parameter. Use that cell to define the field and value for the filter.

  1. Select the worksheet cell referenced by the Fields parameter in your XAVI formula.

  2. From the ExtendInsights task pane, select Fields.

  3. Select the standard or custom field you want to use.

  4. Select the applicable value.

For example, select Entity ID and specify the entity you want to report on.

The XAVI formula uses the field filter stored in the referenced cell. When you drill down, the extracted transaction data reflects the same field filter.

⚠️ Best Practice: Filter by Entity ID

When filtering by customer, vendor, or another entity, use the Entity ID (for example, 54092) instead of the company name. NetSuite does not require company names to be unique, so a name-based filter can match more than one record.

What's on the Transaction Sheet

By default, each transaction-line drill-down sheet includes the columns below.

Use Drill Down Customization to add more.

Column

Description

Account Number

Account associated with the transaction; shown for wildcard or TYPEBALANCE drill-downs when applicable

Date

Transaction date

Type

Transaction type, such as Invoice, Bill, or Journal Entry

Number

Transaction number; select it to open the record in NetSuite

Memo

Transaction description or memo

Debit / Credit

Individual transaction-line amounts

Net Amount

Net impact on the account

Best Practices

  • Use cascading drill-downs to narrow a BALANCE result before reviewing transaction lines.

  • Use Entity ID instead of a company name when filtering for a specific customer, vendor, or other entity.

  • Keep the original report open while reviewing the drill-down worksheet so you can compare the summarized balance with its details.
