Keeping NetSuite data accurate is critical. ExtendInsights Data Management allows you to download existing records, make updates in Excel, and send changes back to NetSuite, all while respecting NetSuite’s native security and data integrity rules.

This article walks through the most common update scenarios.


Step 1: Download Existing Records from NetSuite

Before updating records, you must first retrieve them into an ExtendInsights template. You can download records using any of the following methods:

Once the records are loaded into Excel, you can safely make changes.

Step 2: Update Data in the Template

After downloading records, you can modify values directly in Excel and upload the changes back to NetSuite.

Common update scenarios include:


Updating Data on an Existing Record

In this example, we will:

  • Add a Memo value at the header level

  • Change Debit and Credit amounts from 100 to 50

  • Add Location = Boston at the line level

Step 1: Make Your Changes in Excel

Edit the required fields directly in the template.

🚨 Important:
To update an existing record, do not change Column B – Internal ID.
ExtendInsights uses the Internal ID to determine that the record already exists and should be updated.

Step 2: Upload Changes to NetSuite

  1. In the ExtendInsights panel, click Upload to NetSuite.

  2. Select Upload Records.

Step 3: Confirm Success

  • Internal IDs highlighted in green indicate a successful update.

To confirm the update, open the record in NetSuite and verify the changes.

Updating Selected Records Only

  1. Highlight the rows or cells you want to update.

  2. Click Upload to NetSuite.

  3. Enable Records on selected rows only.

  4. Click Upload Selected Records. Only the selected records will be sent back to NetSuite.

    • Internal IDs highlighted in green indicate a successful update.

To confirm the update, open the record in NetSuite and verify the changes.

Inserting an additional line/s to an existing record

You can add new lines to an existing transaction (for example, Journal Entries or Vendor Bills) directly from Excel.

  1. Download the existing record into Excel.

  2. Insert additional rows for the new lines.

  3. Ensure header-level fields remain the same across all rows.

    • This tells ExtendInsights the lines belong to the same record.

  4. Enter values for the new line-level fields.

  5. Upload the records using Upload to NetSuite.

  • Internal IDs highlighted in green indicate a successful update.

To confirm the update, open the record in NetSuite and verify the changes.
