With ExtendSync Outlook, you can create and save new Task records directly from your inbox β€” without switching to NetSuite.

ExtendSync respects your assigned NetSuite role permissions. Your administrator must enable each record type your role is authorized to create or update.

Step 1: Open Outlook and Access ExtendSync

  1. Launch Microsoft Outlook and ensure the ExtendSync add-in is installed and active.

  2. Open an email that contains the task information you want to save.

  3. Click on the ExtendSync panel from the Outlook ribbon or Apps icon inside an email.

Step 2: Create the Task record

  1. Click the + sign at the top right corner of ExtendSync then select Task.

  2. Select all the mandatory and preferred fields. To customize your form, click on the Configure field button to update the form layout. Click here to learn more about customizing form.

  3. Enter values in all necessary fields, ensuring mandatory fields are completed, such as:

    • Assigned

    • Due Date

    • Start Date

    • Status

    • Priority

Step 3: Save the Task

  1. Click Save to create the record in NetSuite.

  2. ExtendSync will process the request and confirm when the record is successfully created. Select View in NetSuite to open, the task.

πŸ”΅ Where to view tasks in NetSuite?

You can find your Task records in several areas of NetSuite:

  • First Option - Task List View

    Step 1: Go to Activities > Scheduling > Tasks.

    Step 2: Use the filters to search for task.

  • Second Option - Task List

    Step 1: Go to Activities > Activities Overview.

    Step 2: In the task portlet, use the filter to look for tasks.
    ** If task portlet is not showing, click Personalized > List.

  • Third Option - Calendar Portlet

    Step 1: Go to Activities > Activities Overview.

    Step 2: In the calendar portlet, you will see the task assigned to you. If the calendar is public for others, it will also be shown in the dropdown.

πŸ”΅ Why are Custom fields not showing?

  • By default, only standard NetSuite fields are displayed. If your record includes required custom fields, validation will fail unless those fields are added manually.

    To fix:

    1. Ask your NetSuite Admin to grant permission to view your custom fields.

    2. Once permissions are updated, reload the ExtendSync add-in and add the fields using Configure Fields.
