One of the benefits of ExtendSync Outlook is its ability to allow users to create and edit NetSuite records such as Contacts, Customers, or Tasks directly in Outlook without having to open NetSuite.
This is great for the majority of customers but what about those that don't want to give their users the ability to edit or create records in Outlook?
Fortunately, this can be controlled through NetSuite role permissions.
The Solution: Use a Restricted NetSuite Role
The solution is to create a specific NetSuite role for employees to use when signing in via the Outlook integration.
Role Setup Options
Permission Level | Description |
View Only | Allows users to view records but not create or edit them. |
Edit (optional) | Allows users to modify existing records but not create new ones. |
No Create Access | Blocks the ability to create new records from Outlook. |
What Happens When a User Tries to Create a Restricted Record
If a user with a restricted role attempts to create a record type they don’t have permission for, they’ll see a warning message within the ExtendSync app.
The record will not be saved to NetSuite, and the action will be stopped automatically.
💡 Note:
At present, the Create and Edit buttons will still appear in the app interface.
However, users will receive an error or warning message only when they attempt to save the restricted record.
Best Practice
Assign a dedicated NetSuite role for ExtendSync users.
Regularly review which record types users can access and adjust permissions accordingly.
Educate users that although buttons may still appear, their permissions control the actual ability to save changes.
