Drill-Down: Exploring Transactions Behind a Balance
Drill-down lets you look inside any XAVI formula result to see the individual transactions that make up that number. When a balance looks off or you need to verify a figure, you don't need to leave Excel — just drill down and the transactions appear in a new sheet.
How to Drill Down
Recommended Method: Quick Actions Button
Select a cell containing a XAVI formula
Look at the Quick Actions bar at the bottom of the task pane
Click Drill Down
A new sheet is created with the full transaction detail
Alternative Method: Right-Click Menu
Right-click on any cell with a XAVI formula
Select CloudExtend → View Transactions
⚠️ Note for Mac users: The right-click menu may not work reliably on Mac Excel due to platform limitations. Use the Quick Actions button in the task pane instead.
Drill-Down by Formula Type
Formula Type | First Drill-Down | Second Drill-Down |
XAVI.BALANCE | Shows all transactions for that account | N/A |
XAVI.TYPEBALANCE | Shows all accounts of that type with their balances | Select an account row → shows individual transactions |
TYPEBALANCE Two-Level Drill-Down
Because XAVI.TYPEBALANCE aggregates across multiple accounts, its drill-down works in two steps:
First level: Click a
TYPEBALANCEcell → A new sheet appears listing all accounts of that type with their individual balancesSecond level: Select any account row on the drill-down sheet → Click Drill Down again → See the individual transactions for that account
The Quick Actions bar updates to show "Account row selected • Drill Down to transactions" when you're ready for the second level.
What's on the Transaction Sheet
Each drill-down sheet includes the following columns:
Column | Description |
Account Number | Shown for wildcard or TYPEBALANCE drills |
Date | Transaction date |
Type | Transaction type (Invoice, Bill, Journal Entry, etc.) |
Number | Transaction number — click to open it directly in NetSuite |
Entity | Customer, vendor, or employee associated with the transaction |
Memo | Transaction description or memo |
Debit / Credit | Individual line amounts |
Net Amount | Net impact on the account |
Transaction numbers are clickable links — clicking one opens the transaction directly in NetSuite so you can inspect or edit it without any additional navigation.
