Manage Records: How to Update One Record, Multiple Records, or All Records

ExtendInsights Data Management | Choose which Excel rows to upload to NetSuite

ExtendInsights lets you create or update NetSuite records from Excel. You can upload one row, several rows, or every row in your template. This guide explains how row selection works and what to check before uploading.

How ExtendInsights Chooses to Create or Update a Record

ExtendInsights checks Column B – Internal ID to determine what to do with each row:

Internal ID in Column B

Upload action

Present

Updates the existing NetSuite record.

Empty

Creates a new NetSuite record.

⚠️ READ ME FIRST: Important Upload Rules

Select Consecutive Rows Only

When uploading selected rows:

  • Rows must be consecutive

  • There must be no empty rows or gaps

If a gap exists:

  • NetSuite will process rows only up to the first gap

  • Rows after the gap will be ignored

Upload in Batches (Non-Consecutive Rows)

If your data is not consecutive:

  1. Select the first set of consecutive rows

  2. Upload the rows

  3. Confirm the upload was successful

  4. Select the next set of consecutive rows

  5. Repeat until all rows are processed

This ensures no records are skipped.

Update One Record

Use this when you want to update a single record.

  1. Click any cell within the row you want to update.

  2. Enable Records on selected rows only.

  3. Upload the records.

ExtendInsights updates the record associated with that row.

Update Multiple Records

Use this option to upload several records together.

  1. Select the cells across the rows you want to upload.

  2. Confirm the selected rows are consecutive and have no gaps.

  3. Turn on Records on selected rows only.

  4. Upload the records.

Only the selected rows are sent to NetSuite.

Update All Records at Once

To upload every row in the template:

  1. Turn off Records on selected rows only.

  2. Upload the records.

ExtendInsights sends all rows in the template to NetSuite.

⚠️ Hidden rows are still uploaded. Hiding a row does not exclude it from processing.

Set the Default Row Selection Behavior

You can change whether Records on selected rows only is on or off by default using a global setting:

  1. Go to Menu → Settings.

  2. Turn Use Selected Rows Only on or off.

This setting applies across your workflows and can be changed at any time.

Choose an Upload Method

ExtendInsights offers two upload methods:

Real-Time Upload

Key Reminders

  • A populated Internal ID updates an existing record; an empty Internal ID creates a new record.

  • Selected rows must be consecutive and have no gaps.

  • Upload non-consecutive rows in separate batches.

  • Hidden rows are included when you upload all rows.

  • Choose Real-Time or Background Upload based on the size of the upload.
