Prepare the Purchase Order Template
Before building a template, review the Purchase Order form in NetSuite and identify the header fields, line-level fields, and required fields for your process.
In the NetSuite Classic interface, go to Transactions → Purchases → Enter Purchase Order.
A template may include:
Field | Level | Notes |
Tran ID | Header | NetSuite generates the transaction ID. |
Tran Date | Header | NetSuite generates the date. |
Entity | Header | Vendor associated with the Purchase Order. |
Location | Header | Optional. |
Approval Status | Header | Optional; managers can use it to approve Purchase Orders in bulk. |
Item List: Item | Line | Item on the Purchase Order line. |
Item List: Quantity | Line | Quantity for the line. |
Item List: Rate | Line | Rate for the line. |
💡 Tip: Your NetSuite forms and configuration may affect which fields are required. Confirm the fields you need before building your template.
Create a Purchase Order
When creating one Purchase Order with multiple item lines, repeat the same header values on each row that belongs to the order. ExtendInsights uses matching header values to group those lines into one record.
1. Enter the Header Values
Enter the Entity and any other header values needed for the Purchase Order. Repeat the header values on each row for the same order.
NetSuite generates the Tran Date and Tran ID.
2. Enter the Item Details
Select an item from the picklist or type ahead in the cell. Enter the quantity and rate for each line. You can also prepare the item data in another file and copy it into your ExtendInsights template.
3. Upload the Purchase Order
Click Upload to NetSuite, then click Upload Records.
