Manage Data: How to update 1 row, multiple rows, or all rows using ExtendInsights Salesforce

ExtendInsights Salesforce | Choose which worksheet rows to upload to Salesforce

You can:

  • Upload one row.

  • Upload multiple selected rows.

  • Upload every populated row in the template.

This article explains how to choose the appropriate upload option when updating existing Salesforce records.


✅ Before You Begin

Before uploading any changes:

  • Confirm that you are connected to the correct Salesforce environment.

  • Refresh existing records to retrieve the latest Salesforce values.

  • Verify that every row you intend to update contains the correct Salesforce record ID.

  • Review the fields and values you changed.

  • Confirm that your Salesforce user has permission to edit the records.

  • Save a backup when making high-impact or large-scale updates.

⚠️ Important: ExtendInsights uses the Salesforce record ID to determine whether a row creates or updates a record.

Record ID

Upload Result

Blank

Creates a new Salesforce record.

Populated

Updates the existing Salesforce record associated with that ID.

Do not remove or modify the Salesforce record ID when updating existing records.


Option 1: Update One Row

Use this option when you need to update a single Salesforce record.

  1. Make the required changes in Excel.

  2. Click any cell within the row you want to update.

  3. Expand Actions in the ExtendInsights task pane.

  4. Select Upload Rows.

  5. Wait for the operation to finish.

  6. Review the result in Column A.

Only the row containing the selected cell is processed.


Option 2: Update Multiple Rows

Use this option when you want to update a specific group of records.

  1. Make the required changes in Excel.

  2. Select cells across the rows you want to update.

  3. Expand Actions.

  4. Select Upload Rows.

  5. Wait for the operation to finish.

  6. Review the result for each selected row.

Only rows included in your Excel selection are processed.

💡 Tip: Review your Excel selection carefully before uploading. A row may be processed even when only one cell in that row is selected.


Option 3: Update All Rows

Use Upload All when every populated row in the template is ready to be processed.

  1. Review all records in the worksheet.

  2. Confirm that each existing record contains the correct Salesforce record ID.

  3. Expand Actions.

  4. Select Upload All.

  5. Wait for the operation to finish.

  6. Review the result for every processed row.

⚠️ Warning: Hidden or filtered-out rows are still included when you select

Upload All. Hiding a row does not exclude it from the upload.

If you do not want a row processed, use Upload Rows and select only the intended rows.


Which Option Should You Use?

Scenario

Some rows are hidden or filtered out and should not be processed

Review the Upload Results

After the upload finishes:

  • Successful rows display a green status indicator.

  • Failed rows display an error message in Column A.

  • Updated records retain their existing Salesforce record IDs.

If a row fails:

  1. Review the error in Column A.

  2. Correct the affected value.

  3. Select only the corrected row.

  4. Select Upload Rows again.

  5. Verify the result in Salesforce.


💡 Best Practices

  • Refresh records before making updates.

  • Start with one row when testing a new template.

  • Preserve the Salesforce record ID.

  • Confirm that required fields contain valid values.

  • Use valid Salesforce picklist and reference values.

  • Review your selection before choosing Upload Rows.

  • Use Upload All only when every populated row is ready.

  • Remember that hidden rows are included in Upload All.

  • Correct and reprocess only the rows that failed.

  • Verify high-impact updates directly in Salesforce.
