Apply Filters to NetSuite Saved Searches

ExtendInsights Analytics | Filter NetSuite saved search data directly from Excel

ExtendInsights Analytics lets you add filters to eligible NetSuite saved searches directly from the application.

This helps you narrow the data downloaded to Excel without creating several similar saved searches in NetSuite. It is especially useful when working with saved searches that return large data sets.


Availability and Prerequisites

Filtering is available from ExtendInsights > NetSuite > Analytics > Reports.

Before you begin, confirm that:

  • You have an active NetSuite connection in ExtendInsights.

  • The saved search appears on the Reports tab.

  • Your NetSuite role can access the fields you want to use as filters.

  • The NetSuite API supports filtering for the saved search type.

If a saved search is not eligible, the Filter option in its three-dot menu will be disabled. This is expected behavior.


Apply Filters to a Saved Search

Step 1: Confirm That the Saved Search Supports Filtering

  1. Go to NetSuite > Analytics > Reports.

  2. Locate the saved search you want to filter.

  3. Click the three-dot menu (…).

  4. Confirm that Filter is available.

If Filter is disabled, ExtendInsights cannot apply additional filters to that saved search type.

Step 2: Configure the Filters

  1. Select Filter to open the filter panel.

  2. Select a Field.

  3. Select an Operator.

  4. Enter or select the filter Value.

  5. Add more filters if needed.

ExtendInsights supports multiple filters for the same saved search.

Step 3: Save and Run the Custom Search

  1. Click Save & Run.

  2. Enter a new, unique name.

    You cannot reuse the original saved search name.

  3. Confirm the new name to save and run the search.

The new version appears on the Reports tab with a Custom tag.


What Happens to the Original Saved Search?

The original NetSuite saved search remains unchanged.

When you select Save & Run, ExtendInsights creates a custom variant that includes your additional filter criteria. It does not modify or create a saved search in NetSuite.

You can create multiple custom variants from the same saved search, provided each variant has a unique name.


Manage Custom Searches

Custom searches appear on the Reports tab with a Custom tag.

From the Reports tab, you can:

  • Use the filter icon to switch between Standard and Custom searches.

  • Rename a custom search from its three-dot menu.

  • Refresh or schedule a custom search.

  • Create multiple custom variants from the same standard search.

Connection-level filters continue to apply to both standard and custom searches.


Schedule a Custom Search

Custom searches can be scheduled in the same way as standard saved searches.

  1. Open the Schedule tab.

  2. Create or select a schedule.

  3. Assign the custom search to the schedule.


NetSuite Limitations

ExtendInsights currently uses the 2024.2 version of the NetSuite WSDL. NetSuite’s API determines which saved search types, fields, and operators support additional filtering.

Because of this NetSuite limitation:

  • Some saved search types do not support additional filters.

  • The Filter option is disabled for unsupported saved searches.

  • Available filter fields may differ from the fields shown in the saved search within NetSuite.

  • Available operators may differ based on the selected field.

  • A field included in the NetSuite saved search definition may not be available as an additional filter in ExtendInsights.

These limitations come from the NetSuite API and do not indicate an ExtendInsights error.
