Drill-Down: Exploring Transactions Behind a Balance
Drill-down lets you look inside any XAVI formula result to see the individual transactions that make up that number. When a balance looks off, or you need to verify a figure, you don't need to leave Excel — just drill down, and the transactions appear in a new sheet.
The drill-down feature will be available when using the following formula type:

How to Drill Down
Recommended Method: Quick Actions Button
The Quick Actions bar provides direct access to Drill Down when you select a supported XAVI formula.
Select a cell containing a
XAVI.BALANCEformula.Locate Quick Actions at the bottom of the ExtendInsights task pane.
Click Drill Down.
ExtendInsights creates a new worksheet containing the transactions behind the balance.
Use Two-Level Drill Down with XAVI.TYPEBALANCE
XAVI.TYPEBALANCE summarizes multiple accounts belonging to an account type. Because of this, Drill Down works in two levels.
First Level: View Accounts
Select a cell containing a
XAVI.TYPEBALANCEformula.Click Drill Down from Quick Actions.
ExtendInsights creates a worksheet listing the accounts included in that account type and their balances.
Second Level: View Transactions
On the drill-down worksheet, select the account you want to investigate.
Locate Quick Actions.
Click Drill Down again.
ExtendInsights displays the individual transactions behind the selected account balance.
When an account row is selected, Quick Actions indicates that you can drill down to the underlying transactions.
Filter Drill-Down Results Using Standard or Custom Fields
You can use a standard or custom NetSuite field to control which data is included in a XAVI balance and its drill-down results.
The XAVI formula must already reference a worksheet cell in its Fields parameter. You then use that referenced cell to define the field filter.
For example, if your XAVI formula references a filter cell for Fields, you can configure that cell to filter by Entity ID.
Select the worksheet cell referenced by the Fields parameter in your XAVI formula.
From the ExtendInsights task pane, select Fields.
Select the standard or custom field you want to use.
Select the applicable value.
For example, select Entity ID and specify the entity you want to report on.
The XAVI formula uses the field filter stored in the referenced cell. When you drill down, the extracted transaction data reflects the same field filter.
⚠️ Best practice
When filtering a report by customer, vendor, or another entity, use the Entity ID (for example 54092) rather than the company name. NetSuite does not enforce unique company names, so a name-based filter can match more than one record.
What's on the Transaction Sheet
Each drill-down sheet includes the following columns:

Type | Transaction type (Invoice, Bill, Journal Entry, etc.) |
Number | Transaction number — click to open it directly in NetSuite |
Entity | Customer, vendor, employee, or other entity associated with the transaction, including the Entity ID and name |
Memo | Transaction description or memo |
Debit / Credit | Individual line amounts |
Net Amount | Net impact on the account |
Transaction numbers are clickable. Select a transaction number to open the corresponding record directly in NetSuite for further review.
Best Practices
Use Drill Down before manually comparing large reports against NetSuite transaction by transaction.
For
XAVI.TYPEBALANCE, drill down to the account level first, then select an account to review its transactions.Use standard and custom fields to narrow the balance and its underlying transaction data.
Use Entity ID instead of company name when you need to identify a specific customer, vendor, or other entity.
Keep the original XAVI report open while reviewing the generated drill-down worksheet so you can compare the summarized balance with its underlying detail.
