Filtering by Standard and Custom NetSuite Fields in ExtendInsights Financial Reporting

ExtendInsights Financial Reporting now supports filtering your formulas and pre-built reports using standard and custom NetSuite fields, from transaction body fields to custom item fields.

This is in addition to the dimension filters you already use (subsidiary, department, location, class, and custom segment). This article covers how to open the Fields panel, configure a filter, and use fields directly inside an XAVI formula.

ℹ️ Fields vs. Dimension Filters

Dimension Filters (subsidiary, department, location, class, custom segment) live in the task pane's Dimension Filters panel. Fields —standard and custom NetSuite fields, including the customer/Entity field — live in the new Fields panel described below. The two work side by side.


Step 1: Open the Fields Panel

Select the designated Fields cell in a report, then open the Fields panel from the task pane. The panel dynamically loads the fields available to your connected NetSuite account and user role.

Step 2: Choose a Level — Header or Line

Fields are grouped by where they live on a NetSuite transaction:

Header

Standard fields and custom transaction body fields — values set once per transaction, such as the customer or a header-level custom field.

Line

Standard fields and custom transaction line fields — values that can differ line by line on the same transaction.

Step 3: Choose a Field and Filter Type

Within a level, fields are further split into Standard and Custom sections. Search for a field by name, then select it to configure a filter. The control ExtendInsights shows you matches the field's NetSuite data type:

  • Dropdown — for list/select fields

  • Date picker — for date fields

  • Text box — for free-text fields

  • Checkbox — for Boolean fields

💡 Combining filters

Multiple field filters combine using AND logic. Multiple values selected within a single field combine using OR logic. For example, filtering Customer to two specific customers and Region to one location returns transactions matching (either customer) AND (that region).

Step 4: Refresh When NetSuite Fields Change

If a field is added, renamed, inactivated, or deleted in NetSuite, click Refresh All in the Fields panel to reload the current list of available fields — there's no need to reopen the workbook.


Use Cases

Filter by Customer, Vendor, or Company

Customer and vendor filtering uses the standard Entity field. Search for "Entity" in the Header fields list to find it.

⚠️ Use the Entity ID, not the company name

NetSuite does not require company names to be unique — filtering by name alone can silently match every record that shares that name. Filtering by the numeric Entity ID (for example 54092) always matches exactly one record. Use the drill-down feature to look up the Entity ID for a specific customer or vendor.

Filter by Job / Project

Jobs — NetSuite's internal name for what many teams call Projects — are available as a standard field and appear as a searchable dropdown. For accounts with very large job lists, type into the search box rather than scrolling; searching is the fastest way to locate a specific job.

Use Fields Directly in a XAVI Formula

The same filters are available as a formula parameter. In XAVI.BALANCE, the fields parameter comes after customSegment:

=XAVI.BALANCE($A18,C$16,C$16,$B$5,$B$6,$B$7,$B$8,$B$9,$B$11,$B$12)

⚠️ Not yet supported

Custom entity fields cannot be used as filters in this release — NetSuite's SuiteQL query engine doesn't support querying them, so they don't appear in the Fields panel. A workaround is being explored for a future release.
