ExtendSync Google | How to remove email assocations from the app

Users can now remove email associations, no need to go to NetSuite to do the clean up. Using this they can seamless delete the message from NetSuite right from within the add in. This feature would work for manually associated mails and mails that were associated by Autopilot as well (thread or email). So you can go to any email that was associated to NetSuite record either manually or via AP and remove the association.

Usage Scenarios

You can use the disassociation feature when:

  • An email is saved incorrectly to a record in NetSuite.

  • Switching to a different save method for a specific email.

This feature to work end user should have permission to delete messages in NetSuite.


How to remove Email Association

You can view the Remove Association option for emails which are already associated to NetSuite records:

Step 1: Go to the email thread. At the top portion of the ExtendSync panel, click the three dots.

Step 2: Select the record that you need to remove the association from the Association records list.

Step 3: Click Remove.

Step 4 (Optional): For emails on Autopilot, turn off the email sync. Check the steps here.


What Happens After Disassociation

Once the record is disassociated:

  • You will be asked for a confirmation if you really want to delete the message from NetSuite.

  • The record will no longer appear in the Associated Record section.

  • Message would be deleted from under the Communication > Messages tab in NetSuite. If there were any file attachments included, those will still be present in your file cabinet. Only the message will be deleted.


FAQ

  • Will this work on all save methods available?

    • Yes, This feature works for both one-time and Autopilot email associations.

  • Can I remove a shared associated email?
    No, This means if some one in your organization associated an email to NetSuite record and you are viewing the same email and you see the Associated records with purple indication, when you try and remove the shared association you will not be allowed to do so and appropriate message will be shown as shown below.


Known Issue

  • Older Autopilot Associations will not support this feature
    Older emails that were synced via Email or Thread AP before this release, will not have this feature. When you go to an older email that was associated via Autopilot and try and remove the association you will get a message on hover saying this is not allowed as shown below:

Note: Any new message that is syncing via Autopilot after this release, will have the option to remove association.
