Calendar Autopilot ensures that calendar events are automatically captured and kept in sync between Google Calendar and NetSuite, reducing manual effort and minimizing errors.
Calendar Autopilot is available as a standalone product or as an add-on to ExtendSync Google.
Who Is Required for Setup?
To complete the initial setup, you need:
A user with NetSuite Administrator rights
Access to the organization’s Google Workspace account
⚠️ Before You Begin
🚩 Important:
If your organization has any existing calendar integration enabled, disable it before enabling Calendar Autopilot.
Step 1: Grant Google Access in CloudExtend Setup
In NetSuite, go to:
Setup → Custom → Celigo CloudExtend SetupOpen the Access to Google tab.
Click Sign in with Google for both authorization prompts:
Grant 1: Enables NetSuite → Google calendar sync
Grant 2: Enables Google → NetSuite calendar sync
Complete both Google authorization flows.
Once both grants are approved, proceed to Calendar & Autopilot Settings.
Step 2: Configure Calendar & Autopilot Settings
(1) Calendar Settings
Configure the following options carefully:
Sync Direction:
One-way or bi-directional calendar sync
Event Form:
Select Standard Event Form
⚠️ ExtendSync supports only the standard event form.
If your preferred form is custom, you must select the Standard form here.
Organizer for Externally Created Events:
Choose the default organizer
Default Visibility:
Public or Private
Click Save once these settings are complete.
(2) Create / Update NetSuite Web Services Connection
Calendar Autopilot requires a NetSuite Token-Based Authentication (TBA) connection.
Generate Access Tokens
Open a new NetSuite tab.
Go to Home → Settings → Manage Access Tokens.
Click New My Access Token.
Set:
Application Name: Celigo CloudExtend for Google Apps
Token Name: Add a label such as “Cal AP” for easy identification
Click Save.
NetSuite will generate the token values.
Apply Tokens
Copy the generated Token IDs.
Paste them into the Create/Update NetSuite Web Services Connection section.
Click Submit.
(3) Autopilot Settings ( Autopilot for Emails)
If Autopilot for Emails has not yet been enabled for your organization:
Complete the Email Autopilot setup first
If Email Autopilot is already configured, you may skip this section.
Step 3: Assign Calendar Autopilot Licenses
Assign Calendar Autopilot licenses to users who require calendar sync access.
💡 Note:
This step is not required for existing Enterprise Edition customers who already have default Calendar Sync enabled and are upgrading to Real-Time Calendar Sync. If the licenses are already validated—simply click Next and Finish in the final step.
Step 4: Complete Setup
Go to the Completion tab.
Click Finish to complete the setup wizard.
Calendar Autopilot is now enabled for your organization.
📝 Important Notes & Limitations
Calendar Autopilot requires:
Matching Google Workspace email and NetSuite employee email
Custom event forms are not supported
Calendar Autopilot is real-time and replaces legacy calendar sync
Multi-domain or alias email scenarios are not supported.
