What is Send from Outlook within NetSuite?

When sending emails most of the the time our main tool is Outlook, but there are chances that we also be wanting to send emails from NetSuite.

The challenge with sending emails from NetSuite includes:

  • Emails sometimes end up in spam due to the long string NetSuite appends to the "From" address.

  • Sent emails are only stored in NetSuite and do not appear in Outlook’s Sent folder.

  • No way to send email using Outlook account from NetSuite

🔵 What are the supported record types for this feature?

The Send from Outlook feature is available on most record types, including:

  • Contact

  • Customer

  • Lead

  • Prospect

  • Vendor

  • Company

  • Other Name

  • Partner

  • Opportunity

  • Transactions

🔵 Why Do I Need to Grant Microsoft Permissions Again for this to work?

  • The Send from Outlook feature requires a special permission to send email from user’s Outlook account and this permission was not requested before from Admins. To see the full guide on regarding Microsoft Graph permissions, click here.

🔵 Why do I need to login to ExtendSync add-in at least once for the feature to work?

  • We would need the user’s NetSuite connection to create the message back in NetSuite and also for the Thread Autopilot to work.

🔵 I am getting License not found when using this feature even though I have license for ExtendSync add in.

  • Your NetSuite login email might be different from Outlook email to which license is assigned. Make sure that the email configured there is your Outlook email for which the ExtendSync license is assigned.

  • For further troubleshooting, send this guide to your CloudExtend admin.

🔵 Can I send email with attachments that are more than 10MB size using this feature?

  • No. As we are using the native NetSuite Email compose window where you can pick files from the NS file cabinet and there the file size limit is 10MB the same restriction would be applied here as well.

🔵 Are NetSuite templates supported?

  • Yes. You can use all your NetSuite templates and also make edits to them. The values would be properly read and email would be sent using Outlook. Follow this guide from NetSuite on how to create templates.

🔵 Can I send email using a Shared Mailbox email?

  • Yes! Admin needs to configure the user's profile for this to work. See full guide here.
