See answers for some of the frequently asked questions withthe ExtendDocs feature.

πŸ”΅ Are Custom Records supported?

Yes.
ExtendDocs supports both native NetSuite records and custom records.

To use ExtendDocs with custom records:

  • Deploy the CloudExtend Files tab to the custom record

  • Deploy the Auto-Create Folder script to that record type

πŸ”΅ What is the naming convention for auto-created folders? Is it configurable?

Folder naming is not configurable at this time.

ExtendDocs uses internal logic to determine the folder name by checking, in order:

  • name

  • entityId

  • title

  • tranId

  • tranNumber

The first available value found is used as the folder name.

This approach ensures consistent, meaningful names across different record types.

πŸ”΅ What happens if a user renames a SharePoint folder?

  • βœ… The link remains intact

  • ❌ The renamed folder title does not update in NetSuite

This behavior is expected. NetSuite stores a reference to the folder, not a live name sync.

πŸ”΅ What happens if an admin changes the SharePoint site in the portal?

Admins can change the SharePoint site, but it has important consequences:

  • Existing folder links in NetSuite are removed

  • Existing data in the old site is not migrated

  • New folders will be created in the new site going forward

Best practice

  • Treat this as a fresh configuration

  • Export or preserve old data manually if needed

  • Communicate the change clearly to users

πŸ”΅ Can the CloudExtend Files tab be moved closer to the Communication tab?

No. The position of the CloudExtend Files subtab is controlled by NetSuite.

NetSuite places:

  • All standard subtabs first

  • All custom subtabs after

Because CloudExtend Files is a custom subtab, it will always appear to the right of standard tabs.
