Frequently Asked Questions for OneDrive and SharePoint Sync

ExtendSync Outlook | OneDrive and SharePoint FAQs

Find quick answers to common questions about the OneDrive for Business and SharePoint integration with NetSuite through ExtendSync.

🔵 What file types does the integration support?

  • ExtendSync supports all file types natively supported by Microsoft OneDrive for Business and SharePoint.
For an exhaustive list, see Microsoft’s documentation on supported file types.

  • You can view your connected Microsoft account by checking the email address displayed at the top-right corner of the CloudExtend Files tab.

    To switch accounts:

    1. Sign out of your current Microsoft 365 account.

    2. Log in with the new Microsoft account credentials.

💡 You may also need to sign out of your Microsoft 365 account in your browser before reconnecting.

🔵 Can I connect to Personal OneDrive Accounts?

  • No. ExtendSync only supports OneDrive for Business and SharePoint accounts connected to your organization’s Microsoft 365 environment.

🔵 Can I connect to SharePoint Accounts?

  • Yes. ExtendSync supports SharePoint accounts as well.
Shared SharePoint sites will appear automatically in the OneDrive file picker when attaching or associating files.

🔵 What happens to files if I delete them, move them, or rename them in OneDrive or SharePoint?

  • Deleted Files

    • Files deleted in OneDrive or SharePoint will still appear in NetSuite, but clicking the file link will result in a “File Not Found” error.

    • To remove deleted files from NetSuite, click Remove in the last column of the file list on the CloudExtend Files tab.

💡 Note: If you delete a folder that’s been attached (and its subfiles are associated), all files under that folder will also be removed from NetSuite.

  • Moved Files

    • Files moved between OneDrive for Business and SharePoint folders will continue to be accessible from NetSuite as long as the file permissions have not changed.

  • Renamed Files

    • Renaming a file in OneDrive or SharePoint will not update the file name in NetSuite. Clicking on the file in NetSuite will, however, bring you to the renamed file.

🔵 Why am I seeing the same files on all my records?

  • ExtendSync uses the internalID of a record to associate files.

  • If you attach files before a record is saved for the 1st time (or if you copy a record with files already saved) the record is associated with the internal ID of 'null' and will hence show up every time users try to add files to a record before the record is saved for the first time.

💡 Best Practice:
Always save your record first before attaching files to avoid shared associations with unsaved records..
