If certain NetSuite roles should not have access to the Send from Outlook feature, you can restrict or hide the “Email using CloudExtend” button by adjusting the script deployment audience.
This change can be reversed at any time by updating the audience settings.
How It Works
The Send from Outlook button is controlled by a NetSuite User Event Script:
CloudExtend MailApps – Send From Outlook
By modifying the script’s Audience settings, you can control which roles see the button.
How to Restrict Access by Role
Step 1: In NetSuite, go to: Customization > Scripting > Scripts
Step 2: In the filters, select type User Event and API Version 2.1.
Step 3: Find the script named: CloudExtend MailApps – Send From Outlook.
Step 4: Click Edit (or View) beside the script name and the record type to modify.
⚠️ You must update each record type separately if needed (e.g., Customer, Contact, Opportunity).
Step 5: Open the Audience subtab. Under Internal Roles:
Uncheck Select All
Select only the roles that should have access
Step 6: Save.
Roles not selected will no longer see the “Email using CloudExtend” button.
