Global Autopilot allows administrators to automatically sync emails from Outlook to NetSuite across their entire organization with no action required from end users.

Once an admin configures Global Autopilot in the CloudExtend Admin Portal, matching emails are automatically attached to the appropriate NetSuite records within approximately 30–60 seconds of being sent or received.


How Global Autopilot Works

Unlike Email Address-Based Autopilot or Thread-Based Autopilot, which individual users configure, Global Autopilot is managed entirely by administrators through the CloudExtend Admin Portal.

Administrators:

  • Select which users and shared mailboxes participate

  • Define organization-wide sync rules

  • Configure exclusions

  • Control attachment behavior

  • Choose how unmatched emails are handled

Once activated, syncing occurs automatically in the background.


What End Users See

When viewing emails in Outlook, users may see:

  • Global Autopilot enabled by admin label with a View Rules link

  • Sync indicators showing how the email was matched

  • A CloudExtend Autopilot category is applied after synchronization

View Global Autopilot Rules

Users can view the rules that apply to their mailbox, but only administrators can modify them.

To view the current Global Autopilot configuration:

  1. Open ExtendSync

  2. Go to Menu → Settings → Global Autopilot

Users will see:

  • Global Autopilot Status: Active

  • A summary of the organization's sync rules

  • A list of configured exclusions

💡 Users enrolled in Global Autopilot can still manually save emails or configure their own Email and Thread Autopilot rules. Global Autopilot operates independently.

If multiple contacts on a thread belong to the same company, only one message is created in NetSuite

Logs & Retry

View sync status in Logs view, filter by association type, and retry failed syncs individually or in bulk. Logs auto-clear after 30 days.

Fast Synchronization

Emails sync within 30–60 seconds of being sent or received


Prerequisites

Before Global Autopilot can be activated:

  • Your organization must have an active Enterprise Edition subscription

  • A CloudExtend administrator must have access to the CloudExtend Admin Portal

  • Microsoft Graph authorization must be granted

  • Users must establish a NetSuite connection in ExtendSync

💡 Administrators can enroll users before they connect. Synchronization will begin automatically once a valid NetSuite connection is established.
