FAQ: How Global Autopilot Matches Email Recipients and Auto-Creates Contacts

When Global Autopilot processes an email, it evaluates the recipient or sender's addresses to determine:

  • Which NetSuite records should the email be associated with

  • Whether a new Contact should be created (if Auto-Create Contact is enabled)

This article explains how each email field is handled during synchronization.


Which Email Fields Does Global Autopilot Process?

Global Autopilot evaluates email addresses found in:

  • From

  • To

  • CC

Email addresses in the BCC field are not processed.


How Record Matching Works

Global Autopilot searches NetSuite for matching records using all email addresses found in the From, To, and CC fields.

Matching follows the configured record priority:

Contact → Customer → Vendor → Partner

If multiple matching contacts belong to the same parent company, Global Autopilot intelligently creates only a single email association to avoid duplicate messages on the same company record.


How Auto-Create Contact Works

If Auto-Create Contact is enabled and no matching NetSuite record is found, Global Autopilot automatically creates one Contact for the email.

When possible, the new Contact is associated with an existing company by matching the email domain (for example, @academyavenueliquorstore.com) to the company's website or domain stored in NetSuite.

ℹ️ Only one Contact is automatically created per email, even if multiple unmatched email addresses are present in the From, To, or CC fields.

This behavior helps:

  • Prevent duplicate email associations

  • Reduce unnecessary NetSuite API requests

  • Improve synchronization performance


How Does Auto-Create Handles Mandatory Fields?

  • ExtendSync creates Contact records through NetSuite's supported web services. During creation, ExtendSync provides the minimum information needed to create the Contact record, allowing the record to be saved without requiring users to complete every mandatory field on the default Contact form.

  • When a new Contact is created, ExtendSync populates the following fields:

    • First Name

    • Last Name

    • Email Address

    • Company (when a matching company record is found)

    Any additional mandatory or optional fields remain blank

For End Users

After the Contact has been created, you can update the remaining Contact details directly from the ExtendSync panel in Outlook without leaving Outlook.


Why Was the Contact Created Without Being Linked to a Company?

A Contact may be created without an associated company if Global Autopilot cannot find a matching company based on the email domain.

For example

  • Email address: leo.brimms@aals.com

  • Company website in NetSuite: academyavenueliquorstore.com → ❌ No match is found

How to Update the Contact

If the Contact was created but not linked to the correct company, you can update it directly from the ExtendSync add-in.

  1. Hover over the Contact name.

  2. Click the ✏️ Edit (pencil) icon.

  3. Update the Company field and any other required information.

  4. Click Save Record.

Future emails sent to or received from that email address will use the updated Contact and Company relationship.


Why Doesn't Global Autopilot Create Multiple Contacts?

Global Autopilot intentionally creates only one Contact per email to:

  • Prevent duplicate email associations on the same NetSuite company record

  • Reduce unnecessary NetSuite API requests

  • Improve synchronization performance
