FAQ: Why Are Private Outlook Calendar Events Showing Their Details in NetSuite?

Issue

A calendar event marked as Private in Outlook syncs to NetSuite, but the event title and details are still visible.


Expected Behaviour

In Outlook, a private event hides its subject and details from other users and typically appears as Busy.

After the event is synced to NetSuite, what users can see depends on their NetSuite role and permissions.


Why This Happens

When Calendar Autopilot synchronises a private Outlook event to NetSuite, the event is created as a Private event in NetSuite.

Whether the event details remain visible is determined by NetSuite's access controls, not by ExtendSync.

Depending on the user's role and whether they are the organiser, NetSuite may either display the event details or show only Busy.

Is This Expected?

Yes.

ExtendSync correctly synchronises the event as Private. After the event is created, NetSuite applies its own permission model to determine which users can view the event details.

Because of this, users with elevated permissions, such as Administrators, can still view the full event information.

Additional Information

If private events are not displaying as expected, verify:

  • The event is marked as Private in Outlook before it synchronises.

  • The event has been synchronised through Calendar Autopilot.

  • The NetSuite role being used has the expected permissions.

If you require stricter visibility controls for calendar events, review your NetSuite role permissions with your NetSuite administrator.
