When an event is created or updated in NetSuite, NetSuite may send notifications to attendees. This article explains what happens when a NetSuite event status changes to Completed and how ExtendSync Outlook handles the sync to Outlook.


Expected Behavior

When an event is created in NetSuite with the status set to Confirmed, NetSuite sends an event notification to attendees as expected.

If the event status is later changed to Completed and saved, NetSuite may send another notification to attendees, even if the event has already taken place.


Why This Happens

This behavior is controlled by NetSuite.

When an event record is updated and saved, NetSuite can trigger another attendee notification. Changing the event status to Completed counts as an event update.

ExtendSync helps reduce unwanted notifications by controlling whether the completed event is synced to Outlook, depending on the attendees included in the event.


How ExtendSync Outlook Handles Completed Events

Events with External Attendees

If the NetSuite event includes at least one external attendee, ExtendSync does not sync the completed event to Outlook.

An external attendee is someone who is outside your organization or does not have an Employee record in NetSuite.

This prevents past or completed events from being sent again to external attendees through Outlook.

Events with Internal Attendees Only

If all attendees are internal and have Employee records in NetSuite, ExtendSync continues to sync the completed event to Outlook.

This keeps internal calendars aligned while avoiding unnecessary external attendee notifications.


What to Expect

  • Confirmed NetSuite events can sync to Outlook and notify attendees.

  • When an event is marked as Completed, NetSuite may send another notification because the event was updated.

  • ExtendSync does not sync completed events to Outlook when at least one external attendee is included.

  • ExtendSync continues to sync completed events when all attendees are internal employees.


Best Practices

  • Review the attendee list before marking an event as Completed.

  • If the event includes customers, vendors, partners, or other external contacts, ExtendSync will prevent the completed event from syncing to Outlook.

  • For internal-only meetings, completed event updates will continue to sync so employee calendars stay updated.
