When searching for NetSuite records to attach emails to in ExtendSync for Outlook, you may notice inactive records appearing in the search results.
By default:
If you’re using ExtendSync without the NetSuite bundle, inactive records are automatically excluded from searches.
If you’re using ExtendSync with the bundle installed, you can manually adjust your NetSuite preferences to exclude inactive records from appearing.
How to Exclude Inactive Records from Search Results
In NetSuite, go to Home → Set Preferences.
Select the Analytics subtab.
Locate the option Include Inactives in Global & Quick Search.
Uncheck this box to prevent inactive records from being displayed in search results.
💡 Tip:
This setting affects all global and quick searches in NetSuite, including searches triggered through ExtendSync for Outlook.
Result
Once the Include Inactives in Global & Quick Search preference is unchecked:
ExtendSync searches will no longer display inactive records.
Your record suggestions and manual search results will show only active entities and transactions.
