Different users in your organization may need to see emails at different levels within NetSuite.
For example:
A sales rep might focus on emails tied to a specific Opportunity.
An account manager might want to see all customer-related emails in one place.
The Email Rollup feature in NetSuite is supported by ExtendSync for Outlook makes this easy.
When you save an email to a child record (like a Contact or Opportunity), NetSuite automatically rolls that email up to the related parent record (like the Customer).
This eliminates the need to manually save the same email twice! π
How Email Rollup Works
When a user saves an email to a child record, NetSuite automatically displays that same email on its parent record.
This ensures that users can see all relevant communication in one place β without extra effort.
Example
If you save an email to an Opportunity record for a customer, NetSuite will automatically:
Store the email under the Opportunity record, and
Display that same email under the Customer record.
Child Records that will automatically roll emails up to parent records
When you save an email to any of the following child records using ExtendSync for Outlook, the email will automatically appear on the corresponding parent record.
Child Record | Parent Record (Where Email Rolls Up To) |
Contact | Customer, Lead, Partner, or Vendor |
Cash Sale | Customer |
Estimate (Quote) | Customer |
Invoice | Customer |
Job (Project) | Customer |
Opportunity | Customer |
Sales Order | Customer |
Purchase Order | Vendor |
Vendor Bill | Vendor |
Important Note
Emails saved to child customers (for example, sub-customers or subsidiaries) do not roll up to their parent customers in NetSuite.
They will remain visible only under the specific child customer record.
Why This Matters
Email Rollup ensures:
Consistent visibility across related records.
Less duplication, no need to attach the same email to multiple records.
Improved collaboration between teams like sales, finance, and support can all view relevant communications under the same customer.
