Version: 5.1.9 (January 2024 Update)

Date: 15th January 2024

About this Release

This update applies to the CloudExtend NextGen extension and CloudExtend Calendar Sync. The latest version of CloudExtend Gmail for NetSuite (v5.1.9) includes an enhancement where the Available records panel is open by default whenever you are on a mail or switch to another mail. This will reduce the confusion among users who weren't able to find available records list at first glance when they were on a mail they wanted to associate to NetSuite records. It also includes fix for an issue where users were unable to select Entity status field while creating Opportunity record from the extension. This is fixed now. This release also includes fix for CloudExtend Calendar Sync where if user has Bi directional Calendar Sync enabled between Google and NetSuite and if user cancelled an event in NetSuite, it was not syncing properly. This is now fixed.

What’s New in this Release

No new features were added in this release.

What Has Changed in this Release

Enhancements

  • Available records panel is open by default:

With this release, the Available records panel is now open by default when user is viewing an email and trying to see relevant NetSuite records in the extension. This will reduce the confusion among users who weren't able to find available records list at first glance.

From now on whenever user opens the extension on existing mail or switches to another email, this panel will be opened by default, and you can easily view Available records in context of the opened email.

Deprecations & Removals

No deprecations and removals were made in this release.

Fixed Issues:

  • Fixed issue with Entity Status field in Opportunity record creation: There was an issue while creating Opportunity record from extension where users were unable to view values for Entity Status field. It was blank and no options were shown to user. This is fixed now. User should be able to see all entity status values and subsequently create Opportunity record from the extension itself.

  • Fixed issue cancelled event not syncing correctly to Google in CloudExtend Calendar Sync: There was an issue with CloudExtend Calendar Sync where if Bi directional Calendar Sync was enabled between Google and NetSuite and when an event is cancelled in NetSuite, the event was getting deleted from Google as expected but this deletion was again causing the event in NetSuite to be deleted which was not expected. Even though user is cancelling event in NetSuite, he might still want to view the Event record in NetSuite. This is fixed now. Cancelling an event in NetSuite should not delete it from NetSuite once the sync is complete.

Note:

The CloudExtend Calendar Sync fix requires a bundle update. The bundle update to all users will be pushed in batches and all users should get the fix within 2 weeks from now.

Version: 5.1.8 (September 2023 Update)

Date: 14th September 2023

About this Release

This update applies to the CloudExtend NextGen extension only. The latest version of CloudExtend Gmail for NetSuite (v5.1.8) includes an enhancement where you can configure in settings if you want to include the attachments and inline images for all your associations without having to select it each time. It also includes fix for an issue where users were unable to proceed after logging if their existing connections had an issue - either because of token revoke or SuiteApp not installed. They didn't have an option to add a connection at that point. This is fixed now. Users will be able to add connection and need not reach out to support to unblock them. This release also comes with a fix for an issue where Message rollup was not happening in NetSuite for entities when user attaches an email to entity record. This is fixed now.

What’s New in this Release

No new features were added in this release.

What Has Changed in this Release

Enhancements

  • Global Setting for File Attachment and Inline Images:

With this release, users will now have an option in their settings to enable file attachments and inline images by default on all their associations. Or if they want to only select file attachments and not inline images or vice versa, it can be configured in settings. Once enabled, whenever you are associating an email to a set of NetSuite records, all the attachments and inline images are included as per the setting by default and we don't have to select them for each record.

💡 Note:

This setting is turned off by default. If you want the attachments to be included in every manual association you do via CloudExtend you can turn on the setting

Deprecations & Removals

No deprecations and removals were made in this release.

Fixed Issues:

  • Fixed issue with Message rollup not happening when associating emails to entity records: There was an issue where the message rollup in NetSuite for example from Contact to Customer was not happening when user associates an email to their corresponding entity record. This is fixed now. The rollup should happen to parent records without any issue.

  • Fixed issue with logging in when they were invalid connections: There was an issue with users logging in when they had multiple connections and none of them worked either because the token was revoked or SuiteApp was not installed. At that point user was not able to proceed with anything and was blocked. User had to contact support team to get it fixed. This will not be required from this release as we are adding an option to Add a new connection in the UI so that user can either choose from existing connections or if any of them is not valid user can go ahead and add a new connection.

Version: 5.1.8 (August 2023 Update)

Date: 2nd August 2023

About this Release

This update applies to the CloudExtend NextGen extension only. The latest version of CloudExtend Gmail for NetSuite (v5.1.8) includes the all-new feature to view stats on how your application is helping you to stay productive. The app will let you know how much time you have saved, number of actions performed within the week and more. This release also includes association via asynchronous mode. This will allow users to use the application much more faster using asynchronous association. This will help users to initiate an attach and continue with their work. Furthermore, release include couple of bugs fixes.

What’s New in this Release

  • Dashboard showing user activities:

With the addition of this feature, now, users can effortlessly track and manage their email attachments with insightful daily, weekly, and monthly summaries. This intuitive dashboard not only provides comprehensive insights into attachment activity but also empowers users to measure productivity, gauge time savings, and optimize their email workflow. With a user-friendly interface, this feature is designed to help users in check with the amount of time they were able to save and keep them even more engaged.

Please note that data is available for up to two months only.

  • Associate message with Asynchronous mode:

With the introduction of the new asynchronous association mode, users can experience significantly faster application usage. This feature allows users to initiate email attachments while seamlessly continuing with their work, as the application automatically associates the emails to NetSuite in the background. Messages with attachments will be processed using asynchronous mode, enabling users to save valuable time by not having to wait for associations to be completed before working on their next email. To check the status of associations, users can utilize the provided check option within the app. Pending association records will be indicated in amber, and once associated, they will be shown in green, ensuring a streamlined workflow and improved productivity.

Deprecations & Removals

No feature deprecations and removals in this release.

Fixed Issues:

Fixed issue with incorrect author/ recipient details when Alternative email address is also set from the NetSuite: This is an issue that happens when there is an alternate email is also present for a given contact. When an email is received in such instance, the author /recipient was defaulted to the connection owner's details. With this release, this is fixed.

Session mismatch error: While using the application, if customers log into the multiple accounts within the same browser, then the application was experiencing issues with having a session mismatch. With this fix, the app will display a session mismatch error on all the screens if the logged-in email is different to the account used to log into CloudExtend application. If a user needs to use a different email account, then they would require logging out and logging back in to using the intended email.

Version: 5.1.7 (June 2023 Update)

Date: 20th June 2023

About this Release

This update applies to the CloudExtend NextGen extension only. The latest version of CloudExtend Gmail for NetSuite (v5.1.7) includes improvements made to Global Search and Available Records performance. The Available records should load sooner when compared to current version. Global Search also should return results relatively faster. This release also includes fix for an issue where sometimes Associated records were not showing for emails associated via Thread and Email Autopilot. This release also comes with a fix for an issue where we were unable to fetch values for Category List field while creating contact from the extension. This is fixed now.

What’s New in this Release

No new features were added in this release.

What Has Changed in this Release

Enhancements

  • Improvements made to Global Search and Available Records performance:

    • Global Search Improvements:

Before this release, whenever you did a Global Search, in addition to fetching records that match the entered text, we were also fetching the dependent records for those matched records. For example: if the entered text matched a customer we were also fetching the dependent records of that customer like transactions, opportunities, items etc. This was causing the Global search results to slow down and take longer than usual to return the results. This behaviour is now changed and made similar to Global Search in NetSuite. Only the records matching the text you entered will be returned.

    • Available Records Performance Improvements:

For Available records as well, the dependent records for each record were fetched. This would sometimes cause long delays when there were hundreds of dependent records in user's NetSuite account for that record. This behaviour is changed now. We would fetch 25 dependent records in each category like entities, transactions, activities for each available record. Before this release this number was not limited. So this call would take time if there were multiple dependent records. This should reduce the time taken to load your Available records.

You can turn off this behaviour as well if you don't want CloudExtend to fetch dependent records when loading the Available records by turning it off in the settings.

Deprecations & Removals

No feature deprecations and removals in this release.

Fixed Issues:

  • Fixed issue with Associated Records not showing up some times for emails on Autopilot: There was an issue where once you set a thread on Thread Autopilot or email on email Autopilot, the subsequent thread replies or emails would not show the Associated records in the Associated records section. This would happen intermittently and was not consistent. We found the cause for this and have fixed this in this release.

  • Fixed issue with Category List values not showing in Contact Create record form: There was an issue fetching values of Category List in Contact Create record form in the extension. This is now fixed. You should be able to view the category list values in Contact form in the extension and select a value for it and Create Contact from the extension.

What’s New in this Release

No new features were added in this release.

If someone in your organization has already associated an email to a custom record via manual association or Autopilot, and if you open the same email, you should see that record in Associated Records section with a purple color icon.
Learn more about shared associations here.

Deprecations & Removals

No feature deprecations and removals in this release.

Version: 5.1.7 (May 2023 Update)

Date: 4th May 2023

About this Release

This update applies to the CloudExtend NextGen extension only. The latest version of CloudExtend Gmail for NetSuite (v5.1.7) comes with a major feature upgrade to Autopilot. The first version of Autopilot allowed users to set a thread on Autopilot using which all replies to that thread would automatically sync to NetSuite records. This latest version comes with new and advanced option of email automation i.e emails in To/From/cc can be set to sync to selected NetSuite records. Once this is set, all future emails to or from the selected email will automatically sync to the selected NetSuite records without you having to do anything.

What’s New in this Release

Email Autopilot

Email Autopilot is the latest release of Autopilot, our most-used enterprise feature. In addition to all the capabilities of previous release of Autopilot, the latest version of Autopilot can now be email-based—instead of tracking an email thread, you can now put the sender or recipient email address on Autopilot.

  • Set email address to be automatically synchronized

    • When you receive an email, you will now be able to monitor all future communications to or from a specific email address and have that email attached to just the right NetSuite records with zero clicks. For example, testpartner1@celigo.in sends an email. You can have every single email to or from testpartner1@celigo.in sync to one or more NetSuite records. You would only need to set it once.

As seen above, the UI is modified to include both the Autopilot options - Thread based and Email based. Updates to this thread option refers to the thread Autopilot functionality that users have now. To/From/CC refers to Email based Autopilot where you get an option to select email address from To/From/CC and select the NetSuite records and start Email Autopilot for them.

Note: We don't allow setting your own email on Autopilot. So when viewing emails list in Based on To/From/CC section, your email would be excluded.

  • Single screen to view and remove all the Email Autopilot associations

    • Users can simply navigate to a central location where they can search for an email address set for automatic synchronization and see the NetSuite records they are associated with. Users can also remove the email address and its associations so further emails from that email address will not be automatically synchronized with NetSuite.

  • Stay on top of what’s happening with your emails with intuitive and simple user experience

    • Visual cues enable users to see right away if the email is on Autopilot, thus saving valuable time, eliminating redundant clicks, and ensuring that everyone in the organization has access to this communication in NetSuite.

Known Issues:

  • Custom record support for Autopilot: As of this release, setting custom records to be synced automatically via Autopilot is not yet supported. So we would suggest to sync custom records via the One Time option. We are actively working on this and plan to release the Custom Record Support very soon.

What Has Changed in this Release

Enhancements, Deprecations & Removals

No new enhancements, feature deprecations and removals in this release.

Fixed Issues:

  • Fixed issue with incorrect Author and Recipient being assigned while associating mails to entity records: There was an issue where the Author and Recipient fields of Message record in NetSuite were assigned entity records to which they were being associated to while manual association via the extension. For example, I received an email from abc@xyz.com and I associated that email to a contact record in NetSuite which has an email say pqr@abc.com. When we viewed the message in NetSuite, the Recipient field was populated with pqr@abc.com entity record instead of my Employee record. This is now fixed and correct entities should be assigned in Author and Recipient fields of Message record in NetSuite.

Version: 5.1.5 (February 2023 Update)

Date: 22nd Feb 2023

About this Release

This update applies to the CloudExtend NextGen extension only. The latest version of CloudExtend Gmail for NetSuite (v5.1.5) includes support for Searching and Associating to Custom Records that were not supported before. It also includes some improvements to Search UI in extension and Available Records list. See below for full details.

What’s New in this Release

  • Searching and Associating to Custom Records:

With this release, CloudExtend Gmail for NextGen will now support associating your emails to Custom Records as well in addition to standard records we already support. You can search from the search bar for Custom records you want the email to be associated with or custom records would show up in Available records as well once you select them in Configure Records section in Settings.

Configure records section in Settings is slightly enhanced to include the Custom Records list so that users can select which Custom Records they want to see in Available Records suggestions.

    Note:

Custom Records are only supported in manual association in this release. Setting a thread on Autopilot which associates to Custom Records will come in a future release.

What Has Changed in this Release

Enhancements

  • Ability to multi select search results:

With this release users would be able to search multiple records belonging to different record types at once using the global search bar in extension and add all of them at once to the Available records to associate them.

  • Setting to match with names in suggestions when showing Available records

With this release, the records that are available in Available Records section are shown by matching only the email addresses found in To, From and CC sections of emails to that of NetSuite records and not the names. By default only email match is done and Available Records list is shown. If user wants the Available records to be shown by matching the Name of sender and recipients in To, From and CC then he can select the Advanced Options setting under Available Records section in Settings and enable the toggle Include names in suggestion. Once this is enabled, Available records section would show records that match name of sender as well even though email wouldn't match.

Note: 💡 This would be helpful in cases where we get an email from a different email id of a contact in NetSuite. Even though the emails don't match the relevant Contact record in NetSuite would still show up in Available records as the name is matching.

Deprecations

No feature deprecations in this release.

Removals

No feature removals in this release.

Fixed Issues:

  • Issue with associating emails that had an emoji in their Subject line: There was an issue associating an email to NetSuite record when the email's subject had an emoji in it. It would fail with an error saying Failed associating email to selected records. This is fixed now.

  • Issue with formatting of Inbound emails synced via Autopilot when viewed in NetSuite: There was an issue with formatting inbound emails that get synced to NetSuite records via Autopilot due to which plain text was written without formatting in the email message making it not readable to user. This is now fixed and user should be able to view readable message in NetSuite.

Note: When the record is created from suggestions only then the newly created record is visible in the Available records list. When we create a record from + icon on header, it would have to be searched once the creation is successful.

Version: 5.1.2 (October Update)

Date: Oct 2022

About this Release

The latest version of CloudExtend Gmail for NetSuite (v5.1.0) includes new features, improvements, and a few fixes.

Users will now have the Subject Inspection feature which would allow them to view records based on the 4 digit number present in their mail subject line in the Available records section so that they don't have to manually search for that record. For ex: This is very useful for transaction records where the transaction id comes in subject line of mail. It is also helpful to view matching Support case records when the Case Id is present in the subject line.

This release also includes the ability to View in NetSuite when user hovers on record name in Available Records list. This would allow them to quickly navigate to that record in NetSuite rather than searching it in NetSuite.

This release also includes a fix in CloudExtend Configuration wizard in NetSuite where the screen was stuck when user was trying to configure the Autopilot setting and not being able to move past that step.

What’s New in this Release

  • Subject Inspection: Subject Inspection, a setting that is enabled by default, searches the mail subject for a 4-digit number and fetches matching transaction records or support case record or entity records automatically. This will help operations as the add-in will automatically suggest respective records based on the subject line of the mail for which the context is set. For ex: If you get an email with subject line containing PO1234 ... then in the extension, under Available records section, you can view the Purchase Order record by default and ready to associate.

Note: You can disable this setting from Settings view in case your incoming mails do not have the transaction ids or support case ids in the subject line frequently.

What Has Changed in this Release

Enhancements

  • View in NetSuite link for Available Records: When user hovers over the name of record in Available records section, he can now view a link saying View in NetSuite which on click would take user to that relevant record in NetSuite. In addition to the link, additional details of the record are visible in the card making it easier to view more details of the record and make a right choice to associate.

Fixed Issues

The following issues were fixed as part of this release:

  • Unable to move past the second step in CloudExtend Configuration wizard: There was an issue with CloudExtend Configuration wizard in NetSuite where the screen was stuck when user was trying to configure the Autopilot setting and not being able to move past that step. This is fixed now.

Version: 5.1.2 (September Update)

Date: Sept 2022

About this Release

The latest version of CloudExtend Gmail for NetSuite (v5.1.0) includes new features, improvements, and a few fixes.

Users can now use their Sandbox accounts that enables users to add connections related to their NetSuite Sandbox account and expect all operations to work in extension using that connection.

In addition, record listings are modified with additional details. When viewing the suggested records for an email or search results for entered text, if there were multiple results with the same name, there was no way for user to identify the correct record by looking at more details. This is improved now so that the user can see additional record details like email and phone related to that record so that it is easy for user to choose the correct record.

This release also includes a fix as the Use of % wild card in global search was not giving correct results.

What’s New in this Release

  • Added support for Sandbox accounts: We have added the ability to work with Sandbox accounts so that users can test the functionality first in Sandbox before moving to Production account. Users can go to Connections view and add a connection for their NetSuite Sandbox account and set it active. Once done they should be able to do all operations in the extension.

Note that Sandbox connections have an orange theme throughout the app so that we are always aware that Sandbox account is being used.

Note: We identified an issue with NetSuite Sandbox accounts where sometimes the search takes longer than usual and times out. We reached out to NetSuite support for this and they have identified this as a defect Defect 689198 : SuiteScript2.0 > RESTlet > search > runPaged > SSS_TIME_LIMIT_EXCEEDED and is marked as U5 defect.

What Has Changed in this Release

Enhancements

  • Record details added to Search results and record suggestions: We have added the ability to view more details related to a record in Available records section and Global search results so that user can easily identify which record to select when two or more records have the same name. Other record details like email, phone for entities, company, and title/date for transactions are shown along with name and record type.

Removals

Fixed Issues

The following issues were fixed as part of this release:

  • Unable to use % wild card in global search: There was an issue in the search where entering % in the search text was not returning results. This is fixed now. We should be able to search using % in global search bar provided in the extension.

  • Issue with Global Search not working sometimes: There was an issue where users were seeing the global search view stuck at searching but not returning any results. The issue would go away only when the extension was reloaded. This is fixed now. Global search should work fine and not get stuck when searching for any text.

Version: 5.1.0(Beta)

Date: June 2022

About this Release

The CloudExtend Gmail for NetSuite (Beta) v5.1.0 is the latest version of CloudExtend Gmail for NetSuite(Beta) and it includes the below-mentioned features.

When viewing the suggested records for an email, all records related to the email belonging to any record type like Contact or Employee or Sales Order etc would be visible. There wasn't an option to filter the records. With the new release, user can configure the filter in Settings view and once done, only the filtered records would be visible in Suggested Records section. We have also provided the ability to change the theme of the extension to dark-mode or light-mode or based on system in this release.

Prerequisite

Please note that after this release, it is mandatory for you to sign out and sign in once for all the features to work properly, as we have made an infrastructure change related to the login flow, which requires users to sign out and sign in back once.

What’s New in this Release

  • Support for record type filtering in Suggested Records view: When viewing the suggested records for an email, all records related to the email belonging to any record type like Contact or Employee or Sales Order etc would be visible. There wasn't an option to filter the records. With the new release, user can configure the filter in Settings view and once done, only the filtered records would be visible in Suggested records section.

👉 Learn how to set filter to reduce record clutter and check out the record types we currently support here.

Ability to change the theme in extension: We have added the ability to change the theme of the add-in based on user preference. We are exposing 3 options: Dark mode, Light-mode, and based on the system. System setting would take the setting based on what your Gmail theme is set to. If your Gmail is configured to use Dark mode, then the add-in would detect that and switch to that theme automatically.

👉 Change CloudExtend add-in theme to your liking.

In addition to the theme support, we have also added unique colors to NetSuite connection of each type.

  • If your NetSuite connection belongs to Production NetSuite account, then all the views of the add-in would be in blue color as shown below.

  • If your NetSuite connection belongs to a Test Drive account, then the add-in would have a green color as shown below

💡 Note: In the future, we would give users the ability to change the color of their connections and customize it according to their preference.
