This article is intended for ExtendSync for Outlook NetSuite Enterprise Edition Administrators. If you're a Google Workspace Admin and you'd like to enable Autopilot for your org click here.

⚠️ IMPORTANT

For ExtendSync Autopilot to function in the background

  • If you're planning on using Autopilot with shared mailboxes, each mailbox will require a separate license (see this article to learn more).

  • The user's Outlook email address must be identical to their NetSuite login. If a user's email is different, they can still use ExtendSync without Autopilot.

  • If users have different email addresses for NetSuite and Microsoft, the admin must update the email in the license section of ExtendSync by replacing the NetSuite email with the Microsoft email.

🚨 Keep in mind, once Autopilot has been initially installed, it will take about 24 hours to take effect.


Enabling ExtendSync Email Autopilot

Who is required for the initial setup

Enabling ExtendSync Autopilot will require three individuals from your organization. For some companies, this may be the same person. The users do not need to be present at the same time, but they will each be required to perform an action.

  1. The admin assigned to log in to https://portal.cloudextend.app/

  2. A user with admin rights to your Microsoft 365 environment

  3. A user with NetSuite admin rights

Steps to Enable Autopilot

These are the initial steps to enable Autopilot for email.

6. Switch from Sandbox to NetSuite Prod connection (Optional)

If you previously set up Autopilot in a NetSuite Sandbox environment and are now ready to use it in NetSuite Production

7. Allocate License for Shared Mailboxes (Optional)

If your organization is planning on using Autopilot for shared mailboxes, you must add an end-user license for each shared mailbox


How to Enable Rich Text Editing

Follow these steps in NetSuite:

  1. Go to Home β†’ Set Preferences.

  2. Open the Appearance tab.

  3. Enable Rich Text Editing.

  4. Click Save.

  • Without this setting, emails will not be synced as HTML.


Configure Autopilot for Emails from the CloudExtend Portal

These are the initial steps to enable Autopilot for emails.

Step 1: Log in to the Subscription Portal

  1. The CloudExtend admin should log in to the subscription portal (https://portal.cloudextend.app/).

  2. Click Subscription from the navigation pane.

  3. Confirm if the selected subscription is CloudExtend Outlook for NetSuite.

Step 2: Enable Autopilot

  1. Go to the Configuration tab.

  2. Toggle on the Enable Autopilot button.

  3. Connect to your NetSuite Account Number, then Verify.


    ⚠️ Important for Sandbox/Release Preview Accounts

    • Use underscores (_) instead of hyphens (-).

    • Capitalize SB in sandbox names (e.g., 12345_SB1).

    • For Release Preview accounts, use _RP suffix (e.g., 12345_RP).

Step 3: Grant Microsoft 365 Consent

  1. Click the Configure button.

  2. On the next screen, the Microsoft 365 Admin is required to allow ExtendSync to use the Microsoft Graph API. This is required for Autopilot to operate unattended and to add categories to emails.

  3. Click on Step 1 and then review the permissions and click Accept.

  4. Once consent has been granted, you will be returned to the portal and should see a Success status next to Re-configure button.

    πŸ” Repeat the same steps for each additional tenant/domain that needs Autopilot access.

  5. If you got an error requesting for Microsoft Grant, refer to troubleshooting section.

Troubleshooting Steps for Failed Microsoft Grant Request

If you are not getting a Success status after requesting for Microsoft Grant please be sure that:

  • You are logging in to the subscription portal with the same email domain (or an alias for the domain) as the Microsoft 365 account you are granting consent.

  • If consent was previously granted by the Microsoft 365 admin and you are logging in with a different email domain. In this case, a failed attempt for the Microsoft grant can be ignored.

  • An example of this scenario would be an outsourced consultant who has been granted access to the portal to manage licenses for your organization. When the consultant logs in with their own domain, the green checkmark will not appear since the check is being done for their domain.

  • If you're not the Microsoft 365 admin, you will see a screen similar to the one below. You can either have your admin join you via screen share and then click the Sign In link, or you can copy the URL from the authorization screen into your browser and email it to your admin. They must authorize within 5 minutes.


(Optional) Switch from Sandbox to Production

If you previously set up Autopilot in a NetSuite Sandbox environment and are now ready to use it in NetSuite Production, follow the instructions below.

  1. Disable the Enable Autopilot toggle, confirm the warning about needing to re-complete setup.

  2. Replace the existing account number with the new NetSuite Account Number

  3. Toggle Enable Autopilot ON again.

  4. Check if the Microsoft Graph API consent remains valid.

    • If not, regrant consent.

  5. Click Configure Autopilot to assign the permission to specific/all users as per the initial setup instructions

  6. Click Save.

  7. Advise users to add a new connection using the production NetSuite account.
