Upload New Journal Entries Using ExtendInsights Data Management

ExtendInsights Data Management | Create journal entries in Excel and upload them to NetSuite

A journal entry records debits and credits to general ledger accounts. It adjusts account balances without creating transactions such as invoices or bills.

Journal entry data often comes from another system in a CSV or Excel file. ExtendInsights lets you prepare and upload that data from Excel instead of entering it manually or using a CSV import.

Plan Your Template

Before building a template, review the journal entry form in NetSuite and identify the header fields, line-level fields, and required fields for your process.

In the NetSuite Classic interface, navigate to Transactions → Financial → Make Journal Entries.

A basic template may include:

Field

Level

Notes

Tran ID

Header

NetSuite generates the transaction ID.

Tran Date

Header

NetSuite generates the date, according to the original guide.

Memo

Header

Applies to the journal entry.

Line List: Account

Line

The account for each journal entry line.

Line List: Debit

Line

The debit amount for each line, when applicable.

Line List: Credit

Line

Line List: Memo

Line

Optional; use it for notes on individual lines.

💡 Tip: Confirm the fields and requirements in your NetSuite form before creating the template. Your account’s forms and configuration may affect which fields you need.

Create Journal Entry

When you create a journal entry with multiple lines, ExtendInsights treats rows with the same header values as lines on the same record.

  1. Enter the header values. Add the journal entry memo and repeat the header values on each row for the lines that belong to the same journal entry. NetSuite generates the Tran ID and Tran Date, as described above.

  2. Enter the line details. Add the account and the applicable debit or credit amount for each line. You can copy data from another worksheet, select an account from the picklist, or type ahead in the cell.

  3. Upload the journal entry. Click Upload to NetSuite, then click Upload Records.

Create Multiple Journal Entries

You can create multiple journal entries in ExtendInsights. The template structure and row values determine which lines are grouped into each record.

➡️ See the Manage Records guide collection for other ways to create journal entries.
