Scheduling your NetSuite Saved Searches and Queries with ExtendInsights Analytics

Scheduling allows you to automatically refresh NetSuite Saved Searches and queries in Excel using ExtendInsights Analytics. This ensures your reports, dashboards, and downstream analytics stay in sync with NetSuite, without manual refreshes.


When to Use Scheduling

Schedules help you balance data freshness with NetSuite performance.

Recommended frequencies

  • Monthly or Manual

    • Data that rarely changes (for example: subsidiaries, G/L accounts)

  • Daily or Hourly

    • Transactional data (for example: sales orders)

  • Hourly

    • Sales dashboards that require near real-time visibility


Prerequisites

Before creating a schedule, confirm the following:

  • Scheduling is available to Trial and Enterprise customers

  • The Excel workbook is saved to:

    • OneDrive for Business, or

    • SharePoint

  • Workbooks saved locally cannot be scheduled

This is expected behavior.


Add a Schedule for Saved Searches

Step 1: Save your workbook to OneDrive or SharePoint

ExtendInsights schedules only work with cloud-saved workbooks.

  1. In Excel, click File > Save As

  2. Choose OneDrive for Business or SharePoint

  3. Save the workbook

Step 2: Create a new schedule

  1. Open the ExtendInsights task pane.

  2. Go to the Schedule tab.

  3. Click + sign to Add schedule.

  4. Choose your frequency and interval:

    • Hourly

    • Daily

    • Weekly

    • Monthly

    • Yearly

  5. Set the run time and click Create.

Your new schedule will now appear in the Schedule main list.

Step 3: Assign Saved Searches to the schedule

  1. On the Schedule tab, you will see the list of schedules added.

    • With name, frequency, and assignment summary

    • Add a new schedule using the + button

    • Filter or search for schedules, queries, or reports

  2. Select your preferred schedule, click the three-dot menu (…), then Assign. The list of saved searches or queries will appear.

  3. Assign the saved searches and queries to run on the schedule selected.

ExtendInsights will now run the assigned Saved Searches at the selected frequency.


Update Schedule

Use this when you need to change timing or frequency.

  1. On the Schedule tab, you will see the list of schedules added.

    • With name, frequency, and assignment summary

    • Add a new schedule using the + button

    • Filter or search for schedules, queries, or reports

  2. Select your preferred schedule to update, click the three-dot menu (…,) then Edit.

  3. Once done, click Update.


Removing Schedule

There are two ways to remove schedules, depending on what you want to accomplish.

Option 1: Delete an entire schedule

Use this if you want to remove all searches assigned to that schedule.

  1. On the Schedule tab, you will see the list of schedules added.

    • With name, frequency, and assignment summary

    • Add a new schedule using the + button

    • Filter or search for schedules, queries, or reports

  2. Select your preferred schedule to update, click the three-dot menu (…,) then Delete.

  3. A pop-up screen will appear. Click Yes to continue.

  4. The schedule will now be deleted from the Schedule pane.

Option 2: Remove selected Saved Search or query from a schedule

Use this to unschedule selected Saved Searches or queries.

  1. On the Schedule tab, you will see the list of all schedules added.

    • With name, frequency, and assignment summary

    • Add a new schedule using the + button

    • Filter or search for schedules, queries, or reports

  2. Select your preferred schedule to update, click the three-dot menu (…), then Assign.

  3. Unselect unwanted queries and saved searches. Once done, click Assign.

The schedule will remain, but the specific item will no longer run automatically.


✅ Verification

Scheduling is working correctly when:

  • The schedule appears in the Schedule tab

  • Assigned Saved Searches or queries run at the expected times

  • Excel files update successfully in OneDrive or SharePoint

  • No error notifications are received


Best Practices

  • Avoid scheduling large searches too frequently

  • Run heavy searches during off-peak hours (for example, early morning)

  • Test Saved Searches manually before scheduling

  • Remove schedules before deleting workbooks or worksheets
