Schedule NetSuite Saved Searches and Queries

ExtendInsights Analytics | Automatically refresh NetSuite saved search and query data in Excel

Scheduling allows ExtendInsights Analytics to refresh NetSuite saved searches and queries automatically. This helps keep Excel reports, dashboards, and downstream analytics up to date without requiring a manual refresh.

A schedule defines when the refresh runs. After creating it, you can assign one or more saved searches and queries to that schedule.


When to Use Scheduling

Choose a frequency based on how often the source data changes and how quickly users need updated information.

Data type or use case

Recommended frequency

Reference data that rarely changes, such as subsidiaries or G/L accounts

Monthly or manual refresh

Transactional data, such as sales orders

Daily or hourly

Sales and operational dashboards requiring frequent updates

Hourly

Large or resource-intensive saved searches

Daily, weekly, or during off-peak hours

Avoid scheduling saved searches more frequently than necessary. Running large saved searches too often can affect NetSuite performance.


Prerequisites

Before creating a schedule, confirm the following:

  • Scheduling is available to Trial and Enterprise customers.

  • The Excel workbook is saved to one of these supported locations:

    • OneDrive for Business

    • SharePoint

  • ExtendInsights has access to the workbook’s cloud location.

Workbooks stored only on your computer cannot be scheduled. This is expected behavior because ExtendInsights must access the workbook in the cloud when the scheduled refresh runs.

Step 1: Save the Workbook to OneDrive or SharePoint

ExtendInsights schedules only work with cloud-saved workbooks.

  1. Open the workbook in Excel.

  2. Go to File > Save As.

  3. Select OneDrive for Business or SharePoint.

  4. Save the workbook.

The following example shows how to save a workbook to OneDrive.

Step 2: Create a Schedule

  1. Open the ExtendInsights task pane.

  2. Go to the Schedule tab.

  3. Click the plus (+) button.

  4. Select a frequency:

    • Hourly

    • Daily

    • Weekly

    • Monthly

    • Yearly

  5. Configure the interval and other available timing options.

  6. Set the run time

  7. Click Create.

The new schedule appears on the Schedule tab.

Step 3: Assign Saved Searches and Queries

The Schedule tab displays each schedule’s name, frequency, and assignment summary. You can also search or filter the available schedules and assignments.

To assign saved searches or queries:

  1. Locate the schedule you created.

  2. Click its three-dot menu (…).

  3. Select Assign.

  4. Select the saved searches and queries that should run on this schedule.

  5. Click Assign.


Edit an Existing Schedule

Use this option to change a schedule’s frequency, interval, or run time.

  1. Go to the Schedule tab.

  2. Locate the schedule you want to change.

  3. Click the three-dot menu (…).

  4. Select Edit.

  5. Update the schedule settings.

  6. Click Update.

The revised timing applies to all saved searches and queries assigned to that schedule.


Remove a Schedule or Assignment

There are two ways to remove schedules, depending on what you want to accomplish.

Option 1: Delete an Entire Schedule

Use this option when none of the assigned saved searches or queries should continue running on that schedule.

  1. Go to the Schedule tab.

  2. Locate the schedule you want to delete.

  3. Click the three-dot menu (…).

  4. Select Delete.

  5. Click Yes to confirm.

The schedule is removed from the Schedule tab, and its assigned items will no longer run automatically on that schedule.

Option 2: Remove Selected Assignments

Use this option when you want to keep the schedule but stop selected saved searches or queries from running.

  1. Go to the Schedule tab.

  2. Locate the schedule you want to update.

  3. Click the three-dot menu (…).

  4. Select Assign.

  5. Clear the selection for each saved search or query you want to remove.

  6. Click Assign to save your changes.

The schedule remains available, but the removed items will no longer run on it.


✅ Verification

Scheduling is configured correctly when:

  • The schedule appears on the Schedule tab.

  • The assignment summary shows the selected saved searches and queries.

  • The assigned items run at the configured times.

  • The corresponding Excel worksheets update successfully in OneDrive or SharePoint.

  • ExtendInsights does not display a scheduling or refresh error.


Best Practices

  • Test saved searches and queries manually before scheduling them.

  • Schedule large or resource-intensive searches during off-peak hours.

  • Avoid hourly schedules when daily or weekly updates meet the reporting requirement.

  • Review schedule assignments before deleting worksheets or workbooks.

  • Remove schedules that are no longer needed.

  • Confirm that the workbook remains in its original OneDrive or SharePoint location.
