FAQ: Global Setting for Selected Rows

ExtendInsights Data Management includes a global setting Use selected rows only, that controls whether actions apply to only the rows you select or all rows in the table by default.

This setting applies across core data operations, including Upload, Reload, and Delete.


Where to find the setting

  1. Open ExtendInsights in Excel.

  2. Go to Menu (left navigation).

  3. Select Settings.

  4. Toggle Use selected rows only On or Off.

Once enabled/disabled, the setting becomes the default behavior for all worksheets and operations (until you change it again).


What the toggle does

When ON: “Use selected rows only”

ExtendInsights will apply actions to only the selected rows (or the row your cursor is in, depending on the operation).

Best for:

  • Updating/deleting only a subset of records in a large worksheet

  • Avoiding accidental changes to records you did not intend to modify

When OFF: “All rows” (Default)

ExtendInsights will apply actions to all rows in the table by default.

Best for:

  • Uploading entire batches every time

  • Standardized processes where you always want to process everything in the worksheet


Example use case

If your normal workflow is to upload all rows for a record type and you do not want to manually turn off “selected rows only” each time:

Set Use selected rows only = Off in Settings

Upload will default to all rows, and the same default behavior will apply to Reload and Delete.

Important operational notes

  • If you plan to process only a subset of rows, ensure your selections are consecutive (no blank gaps). Some operations may stop at the first gap depending on how the worksheet is structured.

  • If you use “selected rows only” frequently, confirm the toggle state before running Delete, to avoid deleting more than intended.
