Keeping reports up to date shouldn't require manually refreshing data every day.
With Schedules, ExtendInsights automatically refreshes your workbook using the configured template or query, ensuring your Excel reports, PivotTables, charts, and dashboards always reflect the latest data from your connected data source.
Before You Begin
Scheduling is available only when the following requirements are met:
Microsoft Excel is being used.
The workbook is stored in OneDrive for Business or SharePoint.
Microsoft 365 administrator consent has been granted.
The workbook contains a saved ExtendInsights template or query.
Create a Schedule
After loading data into Excel, you can automate future refreshes.
Open the loaded template or query.
Click Assign Schedule.
Select Create New Schedule.
Enter a Schedule Name.
Choose how often the refresh should run.
Select the time the refresh should execute.
Click Assign to save the schedule.
Your workbook will now refresh automatically according to the schedule.
Manage Schedules
ExtendInsights allows you to create and manage multiple schedules for different reporting needs.
You can access schedules from either:
Menu → Schedules
Assign Schedule from the Operations panel
Both locations provide the same management options.
Create Additional Schedules
You can create multiple schedules to support different refresh frequencies.
Open Schedules.
Click + New Schedule.
Enter a schedule name.
Select the desired frequency.
Choose the refresh time.
Click Save.
View Assigned Queries
Each schedule can have one or more templates or queries assigned to it.
To review them:
Open Schedules.
Hover over the schedule.
Click the ⋮ (three-dot menu).
Select Manage Configured Queries.
From here you can:
View assigned templates or queries.
Remove templates or queries from the schedule without deleting the schedule itself.
Edit a Schedule
To change when a schedule runs:
Open Schedules.
Hover over the schedule.
Click the ⋮ (three-dot menu).
Select Edit.
Update the schedule frequency and execution time.
Click Update.
The new schedule takes effect immediately.
Delete or Remove a Schedule
If a schedule is no longer needed:
Option | Description |
Delete | Removes the schedule completely. |
Unschedule | Removes the current template or query from the schedule while leaving the schedule available for other templates or queries. |
Multiple Queries Per Schedule
A single schedule can be assigned to multiple templates or queries.
This allows several workbooks or reports to refresh automatically using one shared schedule.
Verification
Your schedule is configured successfully when:
It appears in the Schedules list.
The assigned templates or queries are listed under Manage Configured Queries.
The workbook refreshes automatically at the scheduled time.
Best Practices
Give schedules descriptive names, such as Daily Sales Report or Weekly Executive Dashboard.
Group reports with similar refresh times under the same schedule.
Store scheduled workbooks in OneDrive for Business or SharePoint.
Periodically review schedules and remove those that are no longer needed.
