After you insert a HubSpot template, ExtendInsights transforms the active worksheet into a workspace where you can download and manage HubSpot data directly in Excel.
This article explains the main areas of the worksheet and ExtendInsights task pane.
🏠 Home Page
The ExtendInsights home page displays the data sources available to your organization.
Select HubSpot to:
Create a new HubSpot template.
Load an existing template.
Select or create a HubSpot connection.
Download or manage HubSpot records.
Workspace Layout
The workspace has two main areas:
The Excel table appears in the worksheet and contains your HubSpot data.
The ExtendInsights task pane contains the tools used to configure templates and perform available actions.
The actions available depend on the selected HubSpot template type.
Worksheet Components
1. Row 1 - Mapping Row
The hidden mapping row stores the HubSpot property associated with each Excel column.
Each mapped column corresponds to a HubSpot property.
Select a cell in the mapping row to view its mapping syntax in the Excel formula bar.
Do not edit this row unless directed by CloudExtend Support.
2. Column A - Errors
The reserved column on the left displays the outcome of an ExtendInsights operation.
Use this column to review:
Validation warnings
HubSpot error messages
Records that require correction
If an operation fails, correct the issue shown in the Results column and try again.
3.HubSpot Record ID
The Record ID is HubSpot's unique identifier for a record.
ExtendInsights uses it to determine how a row should be processed:
Record ID | Result |
Blank | Creates a new HubSpot record during an upload. |
Populated | Updates, refreshes, or deletes the existing record associated with that ID. |
ExtendInsights Panel
Connection
The Active Connection section identifies the HubSpot account connected to the template.
Use Manage to create, review, or switch connections.
Always confirm that the correct HubSpot connection is selected before downloading or uploading data.
Configure the Template
The Configure section contains the settings used to build your template.
When configuring fields, you can:
Search for fields.
Add or remove fields.
Rearrange their order.
Review field types.
Change how Excel handles supported field types.
Identify relationship or reference fields.
Object
Select the HubSpot object or data type you want to work with, such as:
Contacts
Companies
Deals
Tickets
Custom objects
Lists
Analytics
The available operations depend on the selected template type.
Fields
Select the HubSpot properties you want to include in the Excel table.
Each selected property becomes a mapped column in the worksheet.
Choose only the fields needed for your workflow to improve template performance and make the worksheet easier to manage.
Filter
Use filters to control which HubSpot records ExtendInsights downloads.
A filter typically includes:

You can combine filters to create a more specific dataset.
Insert Template
Select Insert Template to add the configured table to the worksheet.
Before inserting a template, use a blank worksheet. Inserting a template replaces the existing contents of the active worksheet.
After insertion, the Configure section collapses, and the Actions section expands automatically.
Save Template
Select Save Template to store the current object, field, and filter configuration for future use.
Saved templates help you repeat common workflows without rebuilding the configuration each time.
Assign Schedule
Use Assign Schedule to automate future downloads for the inserted template.
Scheduling requires:
Microsoft Excel
A workbook stored in OneDrive for Business or SharePoint
Microsoft 365 administrator consent
A saved ExtendInsights template
Actions
Expand Actions to choose the operation you want ExtendInsights to perform.
Depending on the template type, available actions may include:
Download existing HubSpot records
Upload Rows to create or update selected records
Upload All to create or update all worksheet rows
Refresh Rows with the latest HubSpot data
Delete Rows from supported HubSpot objects

List templates manage list membership. They do not create or delete the underlying HubSpot records.
Analytics templates are read-only and support downloads only.
Cell Operations
ExtendInsights recognizes supported HubSpot dropdown properties included in your template.
Select a cell mapped to a dropdown property to:
View valid HubSpot values
Search the available options
Insert a selected value into the cell
Using the available dropdown values helps prevent errors caused by invalid entries.
