Troubleshooting: How to Remove Association from ExtendSync Google

ExtendSync Google | Remove email associations from NetSuite directly in Gmail

ExtendSync allows users to remove email associations directly from the Gmail add-in. No need to log in to NetSuite for cleanup.

You can remove associations for:

  • Emails saved manually (One-Time Save)

  • Emails saved via Autopilot (Thread-Based or Email Address–Based)

This helps keep NetSuite records clean and accurate.


When Should You Remove an Email Association?

Use this feature when:

  • An email was saved to the wrong NetSuite record

  • You want to switch save methods for a specific email

  • An email no longer belongs on a particular record

⚠️ Permission required:
To remove associations, the end user must have permission to delete messages in NetSuite (details below).


How to Remove an Email Association

You’ll see the Remove Association option only for emails that are already saved to NetSuite.

  1. Open the email thread in Gmail. In the ExtendSync panel, click the three dots (⋮) at the top.

  2. From the Associated Records list, select the record you want to remove.

  3. Click Remove.

  4. Confirm the action when prompted.

Optional: Turn Off Autopilot for the Email

If the email was saved via Autopilot and you don’t want future messages to reattach:

What Happens After You Remove the Association?

Once confirmed:

  • The email is deleted from NetSuite

  • The record is removed from the Associated Records list

  • The message no longer appears under Communication → Messages in NetSuite

📝 Attachments:
If the email included file attachments, those files remain in the NetSuite File Cabinet. Only the email message itself is removed.


FAQs

🔵 Does this work for all save methods?

  • Yes. You can remove associations created by:

    • One-Time Save

    • Thread-Based Autopilot

    • Email Address–Based Autopilot

🔵 Can I remove a shared association?

  • No.
    If another user in your organization associated the email and you’re viewing a shared association (shown with a purple indicator), you will not be allowed to remove it.

    ExtendSync will display a message explaining that shared associations cannot be removed by other users.

🔵 What NetSuite permission is required for remove association to work?

  • A NetSuite Administrator must grant the following permission on the user’s role:

    1. Go to Setup → Users/Roles → Manage Roles

    2. Edit the role used by the user (for example, Project Manager or a custom role)

    3. Open Permissions → Lists

    4. Add Track Messages

    5. Set the level to Full

    6. Save the role

    If users can select multiple roles, ensure this permission is added to every applicable role.


Known Limitation

Older Autopilot Associations

  • Emails synced via Autopilot before this feature was released cannot be disassociated.

  • When viewing those older emails, hovering over the option will show a message indicating removal is not allowed.

📝 Important:
Any emails synced via Autopilot after this release do support the Remove Association feature.
