Each team may work with different NetSuite record types, so define unique processes where needed.
🗂️ Which Records Should Emails and Events Be Saved To
Each department should establish its own guidelines.
Example:
You’re working with contact Jess Nana at a company Socially Savvy Studio.
You have an open opportunity and an open estimate related to this customer.
These are 4 different record types in NetSuite: contact, customer, opportunity, and estimate.
Decide where you want emails saved — for instance:
Customer record (for organization-wide visibility)
Opportunity or Estimate record (for context during deals)
💡 Good news:
When you save an email to a Contact, Opportunity, or Estimate, it automatically rolls up to the Customer record.
📧 What Should Be Saved to NetSuite?
ExtendSync lets you save:
Emails
Events
Attachments
Determine what your organization wants to capture.
All saved content appears under each record’s Communication > Messages tab for full visibility.
💡 Tip: Attachments consume NetSuite storage.
For large attachments, consider saving to Google Drive instead.

📏 How Much Should Be Saved?

Encourage users to save all important communications — emails, meetings, and attachments — to ensure full visibility.
Attachments do take up storage space, so you may want to consider using Google Drive to save these attachments if they are over a certain size.
🧾 Which Fields Should Be Included When Creating Records?
With ExtendSync, users can create, edit, or view NetSuite records directly from Gmail.
For each supported record type:
Decide which standard and custom fields should appear on the form.
Configure these in ExtendSync so users see the right details when creating or editing records.
