ExtendSync now allows users to remove email associations directly inside the add-in, no need to open NetSuite for cleanup.
This works for:
Manually saved emails, and
Autopilot for emails (Thread-based or Email-based)
You can remove associations from any email that was previously linked to a NetSuite record.
⚠️ Important:
To remove associations, your NetSuite role must have permission to delete messages. Learn more in “What permissions are required?”
When Should You Use Remove Association?
Use the disassociation feature when:
An email was saved to the wrong NetSuite record
You are changing save methods (from Autopilot → One-time, etc.)
You want to delete the message from NetSuite without manually locating it
You want to stop future Autopilot syncing for that thread/email
How to Remove an Email Association
You can view the Remove Association option for emails which are already associated to NetSuite records:
Go to the email thread. At the top portion of the ExtendSync panel, click the three dots.
Select the record that you need to remove the association from the Association records list.
Click Remove.
(Optional): Turn off Autopilot
For emails on Autopilot, turn off the email sync. Check the steps here.
What Happens After Disassociation?
Once the record is disassociated:
You will be asked to confirm removal
The record is removed from the Associated Records list
The email message is deleted from Communication → Messages in NetSuite
File attachments remain in the NetSuite File Cabinet
Only the message is deleted
Outlook categories will be removed only if all associations are removed
Example: If an email is associated to two records and you remove only one, the category stays
FAQs
Will this work on all save methods available?
Yes! The feature works for both One-Time saves and Autopilot associations.
Can I remove a shared associated email?
No. If someone else in your org saved the email (indicated by the purple shared association icon), you cannot remove it.
You will see a message explaining that only the original associating user can remove it.
What is NetSuite permission required for this to work?
Your NetSuite role must be able to delete messages.
Ask your NetSuite Admin to add:Go to Setup → Users/Roles → Manage Roles
Edit your role
Go to Permissions → Lists
Add Track Messages and set to FULL
This permission allows deleting messages associated with NetSuite records.
