FAQ: Support for Shared Mailbox email

ExtendSync Outlook | Send from Outlook feature can be used with shared mailbox

For organization that have shared mailbox, Send from Outlook feature will be supported. Users need to have the following:

  • Outlook email address of employee who has CloudExtend license

  • Shared mailbox email address which has CloudExtend license

Admin Guide: Configuring Shared Mailboxes for Send from Outlook in NetSuite

This guide is designed for administrators setting up shared mailboxes for users who will utilize the Send from Outlook feature.

NetSuite admin need to configure the following:

Step 1: Search for record Celigo Send from Outlook Email Config.

Step 2: Click New Celigo Send from Outlook Email Config button.

Step 3: This will let you set the employee and in the backend checking if the domain or tenant is the same.

Sample entry for Shared Mailbox configuration:

Shared Email
(Shared Mailbox)

Accepted or Rejected?

Barry

Accepted. If domain of Barry in the employee record is also @cloudextend.io.

Note: For example, if six employees are using a shared mailbox, each of them must be individually added to ensure the Send from Outlook feature works properly.

Step 4: Once this is done, emails will be sent using Send from Outlook button will reflect the email inside the From field in the Recipients tab.

The email will also reflect in the following:

  • In NetSuite, under Communication> Messages tab.

  • Sent Items of Shared Mailbox in Outlook


Common Error

Preferred and shared email domains are not the same or tenants are not the same.

  • If shared mailbox configuration for Send from Outlook is rejected, this error will appear.

    To resolve this:

    • Check the employee profile of user and check the email address assigned.

    • Preferred and Shared Email should belong to the same tenant and have the same domain.
