About this Release

Available from October 9th, ExtendDocs allows you to easily connect NetSuite with SharePoint and OneDrive to store, share, and access all your documents right from NetSuite records. It also helps extend the value of application you already have. Combine it with ExtendSync Outlook and you can store your email attachments from Autopilot in Sharepoint thus saving NetSuite storage space. Your team gets one place to see every file and activity linked to each customer — simple, organized, and unlimited.

ExtendDocs would benefit you in multiple ways:

Key Capabilities

  • Automatically create new folders: Each new NetSuite record can trigger the automatic creation of a new set of associated SharePoint or OneDrive folders arranged in a hierarchy or flat folder structure.

  • Easy search from NetSuite and SharePoint / OneDrive: Search for the right file in a linked SharePoint or OneDrive folder directly within NetSuite.

  • Combine with ExtendSync: Leverage ExtendDocs with your ExtendSync app to save on storage space by adding email attachments to SharePoint or OneDrive instead of NetSuite File Cabinet.

  • Drag and drop a number of files into the associated SharePoint or OneDrive folder. Or, upload to the linked folders within NetSuite.

  • All files related to a customer in a single view: Email attachments, important documents related to SalesOrder, Purchase Order, Opportunity, Support Case for a customer can be viewed under one customer folder in both NetSuite and Sharepoint.

Overview of Key Features

For ExtendDocs to work, your Admin would need to complete the setup in Admin portal and NetSuite account and enable the feature for you as mentioned here. Once the setup is complete you will get access to all features of ExtendDocs

Auto create folders

This feature would automatically create a folder in OneDrive or Sharepoint whenever you create a new record in NetSuite for which your Admin has enabled this automation and auto link to the created NetSuite record. It would also work for existing records when you try to View the record, it would automatically create the folder in Sharepoint/One Drive and link it.

You can view the folder under CloudExtend Files tab in NetSuite for that record. Above image shows a sample folder auto created and attached to Customer record. If your Admin has chosen Customer based folder structure then all documents would be stored under its relevant parent customer folder. For ex: as shown above all cases, contacts, Invoices, Opportunities related to a Client would be stored under that customer's folder and all of it can be viewed at the parent customer level.

Easy search of Sharepoint files within NetSuite

In the CloudExtend Files tab in NetSuite, you can easily search for files in your Sharepoint or One Drive using the search bar and associate it to current NetSuite record.

Using ExtendDocs you can directly upload all documents in the designated Sharepoint folder that was created for this record and all documents would automatically be visible under the attached folder in NetSuite.

Combine with ExtendSync to sync email attachments to Sharepoint or One Drive

If you are an existing user of the ExtendSync Outlook or if you purchase ExtendSync Outlook alongside ExtendDocs you get the added advantage of syncing Email Attachments either from manual associations or Autopilot to Sharepoint.

Your Admin would have to enable this feature for your email. Once Email Autopilot or Thread Autopilot with attachments is enabled for you and Syncing attachments to OneDrive or Sharepoint feature is enabled, all your attachments would sync to the Sharepoint folder.

You can enable Autopilot with attachments from the Add in as shown below:

Once enabled, all your future emails would sync to NetSuite and the attachments from those emails would sync to Sharepoint. In NetSuite you can see the attachments in .html format which are linked to your actual files in Sharepoint.

Drag and Drop files

You can drag and drop files from your local machine to the CloudExtend files tab and once done you can select the folder that was auto created by ExtendDocs to upload any files.

You can also click on the Open in One Drive link against the folder you see in CloudExtend files tab to open the folder in One Drive and drag and drop the files automatically in Sharepoint folder. Once done you can see the files reflect in CloudExtend files automatically.
