About this Release

If you have been using Calendar Autopilot or the One Drive or Sharepoint integration which are part of our Enterprise plan then the following updates are for you.

This release includes minor changes to the way Enterprise Admins were seeing Calendar Autopilot subscription in Admin Portal. Calendar Autopilot configuration will now be moved over to separate Calendar plan that Admins can see in the Admin portal and manage the licenses and configuration in separate plan. As communicated earlier that you would have access to Calendar Autopilot without any charge till Sept 30, with this release we are extending the free access till October 15th. Post that, your organization would have to purchase it else Calendar Autopilot would stop working. Your Admin would have received instructions on how to subscribe to Calendar Autopilot. Once they subscribe to it, it would work post October 15th.

This release also comes with fixes for Enterprise edition users using One Drive/Sharepoint integration. There was an issue with One Drive file links when a record is transformed. There was an issue with file links when the file name or folder name was changed in One Drive. These issues are now fixed. There was also an issue where in Chrome browser you were not able to upload a file from desktop and attach. This is also fixed now.

Fixed Issues

All the below issues are related to the One Drive/Sharepoint integration that Enterprise users have access to.

  • Issue with file links lost when a record is transformed: There was an issue in the One Drive integration where if user associated a file to a NetSuite record and later that record was transformed (for ex: Lead to Prospect or Opportunity to Sales Order), the file links were broken and user was not able to access the files. This is fixed now. For Customer record when it transforms the file links remain intact.

    Note: For this fix to work on records other than Contact and Customer, if you have deployed the One Drive integration to other record types as well and you need the links to be intact when that record is transformed, then you need to deploy an additional script to those records by following the steps mentioned in the section Deploying additional script to retain file links on Record Transformations: of this article.

  • Issue with file links broken when file name is changed or folder is renamed: There was an issue in the One Drive integration where if the file that was attached to a NetSuite record was renamed in One Drive or if the folder name was changed, then the file link didn't work. This is fixed now.

  • Issue with upload and attach option in Chrome for One Drive: There was an issue with upload and attach option in Chrome browser where once you click on Upload and Attach and select a file from your desktop, it was not opening the One Drive window where you could select where the file should be uploaded. This is now fixed.

About this Release

This release comes with minor enhancements and fixes for ExtendSync - NetSuite edition. We have now added support for Attachment Autopilot to your Shared Mailboxes as well. With Aug 6 release, all our Enterprise users have the ability to sync attachments of future replies or emails from a particular email address to NetSuite records. They can see these options while setting Email or Thread Autopilot. While this functionality was available for user's personal mailboxes, it was not available for Shared Mailbox. With this release, you can now set email or thread on Autopilot with attachments in a shared mailbox as well.

Be careful while setting Autopilot from Shared Mailbox as these attachments would be saved in your NetSuite File Cabinet.

This release also contains a fix for an issue for Calendar Autopilot users where event sync from NetSuite to Outlook was giving an issue if the user had a non admin role. This is fixed now.

Enhancements

  • Support for Attachment Autopilot in Shared Mailbox

    With this release, all our Enterprise users who use a Shared Mailbox will have the ability to set an email or thread on Autopilot with attachments once their Admin enables this feature for them for their Shared Mailbox id. Attachments will be stored in NetSuite File Cabinet like any other email attachment. Admins can enable Attachment Autopilot by following the steps mentioned here.

    Note: Be aware that any attachments will be stored in NetSuite File Cabinet, and they will take up NetSuite storage space. We advise that you exercise caution while enabling Autopilot with attachments.

    Once the feature is enabled, you can set the Email Autopilot or Thread Autopilot to sync with attachments by clicking on the attachment icon against the selected available record.

    You can configure attachments for current emails and choose which attachments you want to sync, along with inline images.

    You can also configure attachments for future replies or emails in the Future Emails section. Attachment Autopilot will be enabled once you turn this on.

Fixed Issues

  • Issue with NetSuite to Outlook Calendar sync for non admin role users: There was an issue for users using our Calendar Autopilot where NetSuite to Outlook calendar sync was having issues for users who didn't have an Admin role. Events created or updated in NetSuite were not syncing to Outlook. This is fixed now.

About this Release

This release comes with minor enhancements and fixes for ExtendSync - NetSuite edition. We have added a Sign out option in Left Menu on trial form view. This is for users whose company has purchased an ExtendSync subscription but license was not allocated to their Microsoft email, and they ended up on trial page. In such cases once their Admin allocates the license, there was no way for these users to sign out and sign in again so that they can continue using the app. This is fixed now. Users can navigate to Left Menu and click on Sign out. They can sign in again to access the app once license is allocated to them.

We have also added a view reminding users to install SuiteApp when they try to Connect to NetSuite for the first time or they are adding a new NetSuite connection. We have also added a Troubleshoot SSO URL link in same view, in case there is a trouble viewing your login page when SSO is enabled in your NetSuite account. You can use this link to fix the issue.

This release also contains a fix for an issue where the Default Settings section was not visible in Admin portal under Accounts section using which Admins could give Microsoft Grant for attachments to sync.

What Has Changed in This Release

Enhancements

  • Install SuiteApp reminder and Troubleshoot SSO URL

    With this release, we have added an additional reminder whenever you connect to NetSuite account from the add in. When you try to add a new connection or you are trying to connect to NetSuite for the first time, you will now see a reminder that will ask you to make sure SuiteApp is installed in your NetSuite account before proceeding with connection creation.

    We have also added a Troubleshoot SSO URL link in this screen. This is used when you are facing trouble seeing the SSO login page and you see the NetSuite login page when you click on Continue. In such cases, you can use the link and manually enter the URL in next screen shown below.

    Once you click on Redirect to NetSuite, browser would remember your SSO login page. You can close this window and click on Add connection again and enter your NetSuite account number and click on Continue. You should be navigated to your SSO login page rather than NetSuite. You can continue logging in and create a connection.

  • Sign out option in trial form view

    With this release, you will now have an option to Sign Out from trial form view. This is useful when you have landed on trial form view and don't want to start a trial as you have a license already or your company has a license already. After Aug 6 release, some set of users might land up on this page if their Microsoft email is different from NetSuite email. In such cases we advise them to reach out to their Admins and ask them to assign the license to Microsoft email instead of NetSuite. Once done, you can come to this page, click on Left Menu icon on top left and click on Sign Out option. Once done you can Sign in with Microsoft again and this time you will be able to login as license is correctly mapped.

    Deprecations

    The legacy version of ExtendSync for NetSuite is deprecated as on August 6, 2024.

Fixed Issues

  • Issue with Microsoft Grant for Enterprise users in Admin portal: There was an issue due to which the Default Settings section in Admin portal under Accounts section was not showing up. Because of this Admins were not able to give Microsoft grant which is one of the steps required for the new version to work properly, if you are an Enterprise user and not using Autopilot. This is fixed now. Admins can see the Grant option in Default Settings under Accounts section as shown below.

About this Release

Available Aug 6, 2024, this release will make the new version of ExtendSync for NetSuite the default for all users. The older version of the app will be deprecated, and you will be required to sign in with your Microsoft account to access the new version.

This new version includes multiple exciting updates such as:

  • New and improved UI when compared to Legacy app

  • Support for search and associate to custom records, and support for many more record types

  • CloudExtend Federated Identity allows you to sign in with your Microsoft account instead of NetSuite, thus eliminating the need to log out every time you need to switch NetSuite role

  • Performance improvements, global search, and shared association history that allows you to see who associated an email to NetSuite record to avoid duplicate associations

  • Sync attachments from future replies of thread or future communications from email with no extra clicks

Another major update included with this release is Attachment Autopilot, available for all Enterprise Edition users. This has been requested by many users who leverage thread-based and email-based Autopilot. Attachment Autopilot gives you the ability to set a thread or an email address on Autopilot along with all associated attachments. Once Attachment Autopilot is set, any future replies to a thread will now sync with attachments as well to your NetSuite. Note that the attachments will use your NetSuite File Cabinet space.

There are few other enhancements that have been added in the new version, including the ability to resync changes to calendar events back to NetSuite after the event has been associated. Other updates include:

  • Search for records related to bcc in compose mode and the ability to associate the email to those records

  • See the associated records for events that were associated in legacy version

What’s New in this Release

Attachment Autopilot

With this release, all our Enterprise users will have the ability to set an email or thread on Autopilot with attachments once their Admin enables this feature for them. Attachments will be stored in NetSuite File Cabinet like any other email attachment. Admins can enable Attachment Autopilot by following the steps mentioned here.

Note: Be aware that any attachments will be stored in NetSuite File Cabinet and they will take up NetSuite storage space. We advise that you exercise caution while enabling Autopilot with attachments.

Once the feature is enabled, you can set the Email Autopilot or Thread Autopilot to sync with attachments by clicking on the attachment icon against the selected available record.

You can configure attachments for current emails and choose which attachments you want to sync, along with inline images.

You can also configure attachments for future replies or emails in the Future Emails section. Attachment Autopilot will be enabled once you turn this on.

Once Attachment Autopilot is enabled, you will see visual cues in the Autopilot section to denote that attachments are being synced for future emails. The attachment icon at the right side indicates that attachments will sync to current email as well.

Once you start the Autopilot, you can see the associated records now with the attachment icon in Associated records section (as shown above) so that you know which records have synced with attachment and which have synced without attachments.

You can also navigate to the Auto Associations page to check how Email Autopilot is set up. You can set it up in a way where it syncs to one record with attachments and another record without attachments or inline images.

If you want the attachments to be selected by default while configuring Autopilot, navigate to Settings and enable it under Autopilot Attachments section. Once complete, you won't have to enable it each time you are setting a thread or email on Autopilot.

Improved Notifications for Autopilot Failures

With this release, users will be notified on the homepage if any of their Autopilot associations are failing or have only partially succeeded. You will be notified every hour if there are any failed associations. You can also fetch the status on demand by clicking the Refresh icon in notification card.

Click on any of the status notifications to access the Logs view with that status selected in the filter. Every hour, ExtendSync checks that your Autopilot associations are working correctly. If there are any failures, you will receive a notification to check the details and retry if possible.

Partial Success Status in Logs View

The Logs view now includes a new status called Partial Success, shown for associations where ExtendSync had to ignore the attachments or inline images due to one of the following reasons:

  • Attachment type not supported by NetSuite

  • Attachment size exceeding 10MB

If your email has any attachment that meets either of the above condition, then ExtendSync skips the attachment and proceeds with associating only the message to NetSuite records. These associations are tagged as partial successes. Hover over the attachment in the Logs view (as shown below) to view the logic behind why the attachment was skipped.

For failed associations where attachments are involved, you have the option to exclude attachments/inline images and retry the association. This happens when the total attachment size exceeds 25MB in your email. You will see that message when you hover on the error log. Using the checkbox options for attachments and inline images, select which ones to exclude and which to retry.

What Has Changed in This Release

Enhancements

  • Resync changes made to your calendar event back to NetSuite

    With this release, we have added an option to resync changes made to your calendar event to the NetSuite records the event is associated with. This option is available in Edit mode of a calendar event that has already been associated to one or more NetSuite records. Once you edit the event, you can click on Resync option shown below, and the latest changes will be synced to all the associated records in NetSuite.

  • Search for records related to bcc in compose mode

    ExtendSync now fetches Available records by reading the bcc emails as well. This is available in compose mode. Users that need to associate an email in compose mode to all addresses included in the bcc line can now select those records from the Available Records list.

    Once complete, you can see this email associated to NetSuite record. Note that the bcc email list will not be populated in NetSuite, as it should remain private to the user who composed the email in Outlook.

  • View records associated for calendar event that was associated in legacy

    As the older version of the app will be deprecated on August 6, you can use this setting to see the Associated records from the legacy app in the new app. This option is helpful for verifying whether or not a current email or calendar event was already associated in Legacy app. If it was already associated, ExtendSync shows those records in Associated records section so that you can avoid associating again.

    Deprecations

    The legacy version of ExtendSync for NetSuite will be deprecated on August 6, 2024. As of August 6, you will only have access to the new version.

Fixed Issues

  • Issue with Resyncing updates to calendar event: In the legacy version of the application, there was an issue resyncing updates to calendar event that was already associated. It was creating duplicates. This has been fixed with the Aug 6 release.

  • Issue with incorrect timestamp being shown in NetSuite for some emails: There was an issue where for some users, incorrect timestamp was being posted when they associated email to NetSuite records. This has been fixed with the Aug 6 release.
