Version: 4.5.5.0 (July 2024 Update)

Date: 4th July 2024

About this Release

Available July 4th, 2024, this release comes with an update for our Group Edition users. All Group edition users are now eligible to subscribe to Calendar Autopilot (see here for pricing). With Calendar Autopilot, any event you create or update in Outlook will sync immediately to NetSuite with zero clicks. Similarly, any event created in NetSuite will sync immediately to Outlook. Your admin will have control over what type of sync is needed for your organization (bi-directional or one way) and which users will have access to this new feature.

Any new customer who wants to use the Calendar Autopilot functionality would be required to purchase a subscription to Outlook for NetSuite Calendar Autopilot Edition starting from July 4th, 2024 for them to access all the Calendar Autopilot functionality (see here for pricing).

Note: Existing Enterprise users that signed up for early access before June 30 can still use Calendar Autopilot at no charge through September 30.

We are on track to deprecate the legacy Outlook app on August 6th, 2024. To help you prepare, this release also includes a change in the Login page of the app where users now have a direct option to Login to New App rather than logging into the old version and then switching to new version. All users are encouraged to login using the new app only and share their feedback using the chat icon at the bottom of this page or in their app.

What Has Changed in this Release

Enhancements

  • Calendar Autopilot now available for Group Edition users

    Once your organization subscribes to Calendar Autopilot plan, your Admin will see the plan in their Admin portal and assign licenses accordingly.

  • In the Accounts section admins can configure the Calendar Autopilot setup by following these steps. Once configured, users can be added via the Licenses tab.

  • To learn more about Calendar Autopilot and how it works please refer to this article.

  • Email association features restricted for users having only Calendar Autopilot access

    If your organization has purchased Calendar Autopilot as a standalone package without also licensing the Enterprise or Group Edition, users will be restricted from using the app to associate emails with NetSuite records. Users would, however, retain full functionality of the app for associating events with NetSuite records. Should a user with a standalone package only try to open CloudExtend when viewing an email they would see the screen below.

    A Group or Enterprise subscription is required if you wish to associate emails to NetSuite records. Enterprise subscribers get access to OneDrive and Autopilot as well.

  • Login to new app option added in Login page

    With this release, users now have an option to login to the new version directly from the login app rather than logging into Legacy app first and then switching to new app.

    You will be asked to sign in with your Microsoft account when you click on Login to New App. We recommend you use the new app itself for an enhanced experience as we are going to deprecate the Legacy version on August 6th, 2024.

    Deprecations

    The legacy version of CloudExtend Outlook will be deprecated on August 6th, 2024. Starting from August 6th you will only have access to the new version. To learn more about the new version and what benefits you would get please refer to this.


Version: 4.5.3.0 (June 2024 Update)

Date: 5th June 2024

About this Release

Available June 5th, 2024, this release comes with an update for our User Edition users. All our User edition users will now be able to access the NextGen app that we have built with new and improved UI, support for more record types, support for custom records and faster performance. They will have an in app option to try out the new app. With this release, we are moving out of beta for our NextGen app. We encourage all users to start using the new app only and let us know of their feedback as we will be deprecating the current version very soon.

This release also includes an enhancement in the new app where when user wanted to set an email on Autopilot and attach the current email attachments as well in the first email itself, they didn't have an option. With this release, they can associate the first email with attachment and set email on Autopilot in one operation itself. This release also includes a fix for an issue where some users were unable to associate an email with attachments and they were getting an error when retrying as well. This is now fixed.

What’s New in this Release

The next generation of CloudExtend was built to make it easier for users to perform their day-to-day tasks. To access all the new features, make sure your admin installs the SuiteApp by following the steps mentioned here.

After this release, you will see option in the app to try out our new app as shown below

Once you select this option, you will be navigated to the new app and asked to Sign in with Microsoft account. Once you sign in with Microsoft account you will be shown the below screen where you have to grant consent to CloudExtend so that all operations in new app work seamlessly and especially associating an email with file attachments.

Once you click on Continue with Microsoft, you will either get an option to grant consent or if you are not the Microsoft Admin, you will get an option to send request to your Microsoft Admin. You can send these instructions to your Microsoft Admin as to how to grant the access to CloudExtend.

Once the access is given, you can click on Continue with Microsoft again and it should take you to next step i.e create connection. Here you can connect to your NetSuite account. Make sure you install the SuiteApp in your NetSuite account before creating a connection as SuiteApp is mandatory for new app to work.

Once the connection is created you can explore the new app and try out all features. You can see what's new in the NextGen version here.

We encourage you to use the new app as much as possible as we will be going to deprecate the current version very soon.

What Has Changed in this Release

Enhancements

  • Ability to associate first email with attachment while enabling Email Autopilot

    Before this release, if user had to enable Email Autopilot for a particular email and they also wanted to sync attachments as well for the current email while doing that, there was no option for user to do both at once. They would be able to start the Email Autopilot but not select attachments for first email. This is now supported. Users will be able to associate the first email with attachment and also start Email Autopilot in one operation only.

    Note that the attachment selection is only for the first email and not for subsequent emails. We are currently working on a feature where you can configure if you want attachments for future emails as well to sync. This will come in a future release.

Fixed Issues:

  • Issue with syncing emails with attachments: There was an issue that some of our users were facing with the NextGen version where they were unable to sync an email with attachments to NetSuite records due to an issue. We were able to find the cause for this and fix it. Users should now be able to associate an email with attachments without any issues.


Version: 4.5.2.0 (May 2024 Update)

About this Release

Available May 2nd, 2024, this release comes with fixes for some issues in the bi- directional Calendar Sync between Outlook and NetSuite that was released last month. This release also includes a fix for an issue in the NextGen beta application where users were seeing the Welcome screen when they were in edit mode for a Calendar event. Because of this they were not able to associate Calendar events to NetSuite records. This is now fixed.

Fixed Issues:

  • Issue with Outlook to NetSuite calendar sync:

    • There was an issue with calendar sync where if you have been invited to an event in the NetSuite calendar and that event got synced to your Outlook calendar and you responded with Yes/No in Outlook, then that response was not syncing back to the NetSuite event. This is fixed now.

    • There was an issue where the admin who had setup the Calendar Autopilot in the subscription portal, his/her email was getting added as an attendee for events that sync in Outlook or NetSuite for users who had the Calendar sync enabled. This is fixed now and the admin's email should not be added to your calendar events when synced via Calendar Autopilot.

  • Beta app stuck at Welcome screen in Edit mode for Events: There was an issue with associating Calendar Events manually to NetSuite records in Edit mode of an Event. Users were seeing the Welcome screen which says "Open an email to get started". They were unable to navigate to the next screen which shows the available records and allows them to associate the calendar event to NetSuite records.

    This is fixed now. Users will be navigated to contextual screen which shows Available records and the option to associate the Calendar event to the NetSuite record(s) of their choice.


Version 4.5.2.0 (April 2024 Update)

About this Release

CloudExtend Outlook for NetSuite v4.5.2.0 is the newest version and replaces v4.5.1.0

Available April 8, 2024, this release comes with an exciting update to the Calendar Autopilot feature we released awhile back. In addition to syncing calendar events from Outlook to NetSuite, you can now sync events from NetSuite to Outlook as well and have the full Bi-directional sync between Outlook and NetSuite. Now any event you create in Outlook will be visible in your NetSuite account within no time and zero clicks, similarly any event you create in NetSuite will be visible in Outlook within no time. Your admin will have control over what type of sync is needed for your organization and also which users will have access to this.

IMPORTANT PRICING INFORMATION

Please note that all Calendar Autopilot functionality, including the new bi-directional sync, is made available to all eligible customers at no charge through September 30, 2024. After September 30, your organization will need to license the integration separately. Learn more about pricing here.

What’s New in this Release

Bi-directional Calendar Sync between Outlook and NetSuite

With this release, users will have the ability to sync events from NetSuite to Outlook as well as Outlook to NetSuite which was rolled out in Jan 2024 as part of Calendar Autopilot.

In order to take advantage of this new feature your admin would have to enable this in the Admin portal by navigating to Manage Licenses --> Accounts --> Calendar Autopilot. In that section they would have an option to Enable Calendar Autopilot and also the choice of syncing events bi-directionally, from only Outlook to NetSuite or only from NetSuite to Outlook.

Note for Admins who have Calendar Autopilot already configured: Once you enable the type of sync in Calendar Autopilot, click on "Configure Autopilot" and repeat Step 1 of giving the Microsoft Grant. Even the config was done before, this is necessary for the app to be able to write events to the user's calendar.

Once the bi-directional sync is enabled, your NetSuite and Outlook calendars will now be in sync.

  • Sync newly created events: Any new event you create in Outlook or NetSuite will sync to the other system within seconds with all details intact.

  • Sync updates or deletes: Any updates you make to an event in either Outlook or NetSuite will sync to the other system. If you have deleted an event from NetSuite, it would be deleted from Outlook and vice versa.

  • Sync recurring events: We also support sync of recurring events from Outlook to NetSuite and NetSuite to Outlook. Create, update and delete of recurring events will sync without any issues.
    NOTE: We currently do not support syncing of update/delete of a single instance of recurring event in either system, but it will come in a future release.

  • Sync events with correct access level: All your events will be synced with correct access level so that your private or public events stay the same when they are synced over to other system i.e. Outlook or NetSuite. The following mapping is followed in the bi-directional sync between Outlook and NetSuite.

    NetSuite to Outlook

    • Public ---> Public

    • Private ---> Private

    • Show as Busy ---> Private

    Outlook to NetSuite

    • Public ---> Public

    • Private ---> Show as Busy

With help of Bi-directional Calendar Sync, everyone in your organization will have more visibility into the meetings you are having with prospects/customers, it enables you to keep track of your meetings and appointments in one place and have them synchronize between both applications.

Known Issues

  • If you have been invited to an event in the NetSuite calendar and that event got synced to your Outlook calendar and you responded with Yes/No in Outlook/NetSuite, then that response is not syncing back to the NetSuite/Outlook event. This is only for events created inside NetSuite. A fix for this is coming soon.

  • We currently do not support syncing of update/delete of a single instance of recurring event in either system. A fix for this will be provided in an upcoming release.

  • When the time zone you are working in, and your NetSuite admin's time zone are different there are some edge cases that might fail. We will be closely monitoring such issues and work on resolutions in future releases.

About this Release

CloudExtend Outlook for NetSuite v4.5.2.0 is the newest version and replaces v4.5.1.0

This release comes with exciting updates to the beta version which our Enterprise and Group Edition users can access from current version. Support for Shared Mailboxes and Delegate Mailbox is now added in Beta. Users can now associate emails from Shared mailbox and also set thread or email on Autopilot from a Shared or Delegated Mailbox. This release also includes changes to onboarding a new user trying our beta application without license.

What’s New in this Release

Shared Mailbox and Delegate Mailbox support in Beta

Shared Mailboxes in Outlook are used so that it is easy for a group of people in a department to monitor a given inbox and send email from a public alias. For ex: Support team or Customer Success team in a company would want to send responses from a public email but also give access to that inbox to all members in the team. Shared Mailbox can be used in such cases.

Delegates are used in Outlook when you want to delegate a part of your day-to-day work with your Outlook mail or calendar or notes or tasks to someone else in your organization so that they can handle that part of the work.

For example: A CEO can give delegate access to his Personal Assistant with permission level set to Respond to meeting invites on his behalf. He can also give access to his Inbox so that he can read and respond on CEO’s behalf.

Similar to having an assistant that helps you manage your incoming paper mail, another person, known as a delegate, can receive and respond to email messages and meeting requests and responses on your behalf. You can also grant the delegate additional permissions to read, create, or change items in your Microsoft Exchange Server mailbox.

Beta version now supports working with Shared Mailbox and Delegate Mailbox with this release.

Prerequisite: Shared mailbox email id or the delegate mailbox email id should be given license in Admin portal for you to work with Shared Mailbox or Delegate Mailbox.

Once you switch to Shared Mailbox and login to the app, the app would detect that you are working with a Shared Mailbox and that is displayed to you at all the times be it Welcome screen or Contextual screen.

You will be able to do all operations that you can do with your personal inbox with Shared Mailbox and Delegate mailbox as well. You can associate records One time or use the Autopilot functionality. You can either set a thread on Autopilot or put an email on Autopilot provided your Admin has enabled Email and Thread Autopilot for the Shared Mailbox email id.

As this is a Shared Mailbox, if someone else has associated the mail, other people having access to the Shared Mailbox can see the associated records with purple icon as shown below. This would avoid same mail being associated to NetSuite records again and creating duplicates.

Note: We rely on users to be careful while setting Autopilot in Shared Mailbox as you are doing that setup for Shared Mailbox and not your personal mailbox. For ex: If you are tracking updates to a thread in Shared Mailbox, all replies to that thread in Shared Mailbox will sync to NetSuite records you selected. Similarly if you select an email and put it on Email Autopilot, all subsequent communications related to that email coming in or going out from Shared Mailbox will be synced to NetSuite. You have to be aware that you are working in the context of Shared Mailbox.

Known issue:

  • Issue with applying category in Windows desktop for Delegated Mailbox: There is an issue where after successful association either One time or through Autopilot, we are unable to apply the category Synced by CloudExtend or CloudExtend Autopilot in a delegated mailbox. We are working on finding the root cause of this.

Changes to onboarding a new user in Beta app

As a new user of the beta application for whom the trial is not yet created, if you are visiting the app for the first time, you will be asked to submit a form similar to the one seen on CloudExtend website. Once submitted you will be taken to the screen where you can get familiar with our Getting Started Guide and also check your trial status. Once your trial is setup by CloudExtend team, check trial status call would succeed and you will be taken to NetSuite Connection creation view.

CloudExtend Outlook for NetSuite v4.5.1.0 is the newest version and replaces v4.5.0.0

We’re excited to announce that the latest release for CloudExtend Outlook will feature a brand-new Admin capability for our Enterprise customers to enable/disable both Thread and Email Autopilot on a user-by-user basis. Admins can also turn Autopilot on or off for the organization as a whole with one click. This release also includes the fix for an issue in beta app where users were not able to see Associated records for an email in beta version when it was associated using the existing app. This is fixed now. This release also includes few bug fixes in Event Sync feature which we rolled out for our Enterprise users last month. It also includes performance improvements for Available records load on a given Calendar Event when Calendar Autopilot is enabled.

What’s New in this Release

Enable/Disable Thread and Email Autopilot as an Admin

All Enterprise admins will now have more control over who has access to the Thread Autopilot and the To/From/CC (Email) Autopilot feature and they can either enable the feature for complete organization or choose users who would have access. This section would be visible in their Configure Autopilot Section as Step 3.

In the beta version of our NextGen app, at add in level, you can see if Thread Autopilot and Email Autopilot are enabled for you in the Settings --> Autopilot Status section.

In addition to above, while you are planning to put a thread on Autopilot or Email on Autopilot, you will see that feature is available to you only if your admin enables it for you. Else it would be disabled for you.

In the existing version of the app as well, you will be notified if the feature is enabled or not by your admin as shown below.

  • View all your associations in the beta version

    You should now be able to view all your associations that were done in your existing add in, in the beta version as well, in the Associated records section. You would need to go to Settings and enable a setting in Advanced Options called Include old app associations and this would bring in your old app associations in beta version of NextGen.

    Note: Enabling this setting will slow down the load of Available records for each of your email. So, we recommend you enable this when needed and turn it off after that.

  • Available records should load faster for a Calendar Event in the beta version

    We have made some improvements to the load time of Available records for a given Calendar event in the beta version when Calendar Autopilot is enabled. In the previous release, if you had Calendar Autopilot enabled and you were trying to associate a calendar event to other set of entity records or transaction records, the available records would take longer time to load. This is improved now, and the records should load faster.

    Note: If you open a single occurrence of a recurring event and try to view the Available records, the load time is still the same as we have to fetch the event details using Microsoft API. This is only if you open a single occurrence of a recurring event and try to manually associate it to entity or transaction records.

Fixed Issues in the Beta Version

  • Optional attendees being synced as Required when manually associated using beta version: There was an issue with associating Calendar events manually where optional attendees were being synced as Required. This is fixed in the beta version now.

  • Associated Records not showing up in some cases for events synced via Calendar Autopilot: There was an issue where if there was a Calendar event which had attendees, but they didn't have matching entity records in NetSuite, then in that case, Associated records were not showing up in the add in. This is fixed now.

  • Issue with syncing description of event in some cases: There was an issue with syncing description of Calendar event when manually associated in the case where the invite was coming from a gmail id. This is fixed now.

About this Release

CloudExtend Outlook for NetSuite v4.5.0.0 is the newest version and replaces v4.4.7.2.

Enterprise Users can now enjoy a new feature called Event Autopilot. If your admin enables this feature, your Outlook events will automatically sync to NetSuite without any manual intervention. Any subsequent changes or deletions to the event in Outlook will also sync to NetSuite instantly. Moreover, you can see which events are already associated to avoid duplication. Recurring and private events in your Outlook will also sync to NetSuite.

What’s New in this Release

All Enterprise users will now have the ability to sync their Outlook calendar events to NetSuite. For this to work, your Admin has to follow these steps in the Admin portal. Once users are given access to Event Autopilot all their Outlook events created or modified from that point on will sync to NetSuite with 0 click.

View Event Autopilot Status in the add in

Once the Event Autopilot feature is enabled by an admin, users will see visual indicators in the beta version of the app. Users can switch to the beta version from their current app to see the visual indicators. Switching to the beta app from the current version is easy. Find the details here.
You can navigate to Settings view in the Left Menu and see the Event Autopilot status in Autopilot section. You will also be notified that events are syncing automatically in the contextual view when you try to manually associate an event.

  • Ability to sync new events and updates/deletes from Outlook to NetSuite

    Once the Event Autopilot is configured, users will no longer need to manually open CloudExtend to associate events. Any new Outlook event you create or any event you modify, will be reflected in NetSuite automatically. This will give everyone in your organization more visibility into your customer meetings, etc. Event Autopilot will auto associate the event to all entity records matching the attendees in your Outlook event. And, you'll still have the option of manually associating it with other record types such as transactions or support cases.

  • Shared Association History for Events

    With this release, you can now see if someone else in your organization with a CloudExtend license has already associated the same calendar event to NetSuite records. This will help avoid duplicate work. Even with Event Autopilot, if you were invited to an event and another attendee in the same event has Event Autopilot enabled, then that event would have synced to NetSuite and you can see the associated records in Associated records section.

  • Syncing events with correct access level

    All your Outlook events will sync with the correct access level in NetSuite. All public events will be synced as public events in NetSuite. All your private events in Outlook will be synced as Show as Busy in NetSuite as the behavior of private events in Outlook is similar to that of Show as Busy in NetSuite.

    Note: Calendar permissions are left to the user so that they can maintain the same access level in both Outlook and NetSuite. If an event was public in Outlook but not visible to others in Outlook because your calendar was not shared, and you want the same behaviour in NetSuite after the sync completes then we recommend having similar permissions set for your NetSuite Calendar as well so that event is not visible to others.

  • Syncing Recurring events in Outlook to NetSuite

    In addition to single day events, your recurring meetings in Outlook will also sync to NetSuite. Updating the series, deleting the series, updating attendees, location, time, etec., will all auto sync to NetSuite.

    Note: There is an issue with syncing updates to a single instance of the series due to a limitation of the Outlook API. We'll monitor the API and adjust accordingly as the limitations are mitigated.

  • Manual association to entities, transactions and support cases will not create duplicates.

    With this release, you can still manually associate events to other NetSuite entity records, Transactions and Support Cases without duplicate events getting created in NetSuite. Manual association would work in the following way:

    • Association to entities: If you try to manually associate an event to any entity record, that record will be added as an attendee and duplicates will not be created. If you try to associate it with a contact, the contact field in Related records would be updated along with Company.

    • Association to transactions: If you try to associate an event to 1 transaction, the transaction and company field in Related records would be updated. If you try to associate an event to more than one transaction, duplicates would be created as NetSuite itself does not allow more than one entry in the transaction field. We show a warning as shown below for such cases.

    • Association to support cases: If you try to associate an event to 1 support case, the support case field and company in Related records would be updated. If you try to associate an event to more than one support case, duplicates would be created as NetSuite itself doesn’t allow more than one entry in the transaction field.

Note: If user is trying to associate an event to 1 contact, 1 transaction, 1 support case belonging to same company, duplicates would still be created. Our team will work on a resolution for this in a future update.

Known Issues:

  • Updating or deleting a single occurrence of recurring event will not sync to NetSuite due to an Outlook API limitation.

  • Multi day events in Outlook do not sync to NetSuite as NetSuite does not have the concept of a multi-day event. This will be part of a future release. Our team will work on a resolution for this in a future update.

  • For users that don't want to use Event Autopilot and want to continue associating events to transactions or support cases, the manual Resync option is not available in the beta app.

About this Release

The CloudExtend Outlook for NetSuite v4.4.7.2 is the latest version of CloudExtend Outlook for NetSuite and is the successor to CloudExtend Outlook for NetSuite v4.4.7.1.

This release adds the feature to view Logs related to your associations in the beta version of the application. If you have associated any email manually or via Autopilot you can now view the status of associations in Logs view in left menu. You can also Retry any failed associations. We will be pushing updates to the beta version and we look forward to users trying out the beta app and sharing their experience with us.

What’s New in Beta Release

  • View Logs related to your One Time and Autopilot Associations now within the app.

With this release, we have introduced the Logs feature in the beta version using which you can now view what is happening with your Autopilot associations be it Thread or Email Autopilot and see if all emails are being synced properly. You will also have a log of One time manual associations along with attachments details. If the association failed due to any reason you will have an option to Retry as well.

You can check which associations are in Progress, in Failed status and which were successful. You can also refresh the logs using Refresh button at the top to check the latest status.

Read below to check what features were added in beta and what's missing. We encourage you to try out the beta as much as possible and share feedback.

About this Release

The CloudExtend Outlook for NetSuite v4.4.7.0 is the latest version of CloudExtend Outlook for NetSuite and is the successor to CloudExtend Outlook for NetSuite v4.2.6.0. This release gives Enterprise and Group Edition users an ability to try out the latest version of our app which is available in beta. The new app gives users a new and sleek UI, an all-new global search to search for NetSuite records, support for associating to custom records, support for more record types both for association as well as creating from within the add in and many more exciting features. We look forward to users trying out the beta app and sharing their experience with us.

What’s New in Beta Release

The next generation of CloudExtend was built to make it easier for users to perform their day-to-day tasks. To access all the new features, make sure your admin installs the SuiteApp and completes the Microsoft Grant consent in the subscription portal. Please refer to this article for details. Some of the highlights are below.

  • Sleek Improved User Interface

    The complete UI is redesigned so that it's easy for users to search and associate emails, create records, and much more.

  • Login using your Microsoft Account

    In the beta version, a user's CloudExtend license is tied to their Microsoft account and not their NetSuite account like their current version. In the current app if the user had to switch a role or use a different NetSuite account, they had to sign out each time. In the new version users can now login once with their Microsoft account and CloudExtend would create the user's identity in the background. Once done, the user can add as many NetSuite connections as possible and use the add-in in that connection’s context.

  • Connections

    In the beta version, once you login with your Microsoft account, you can connect to your NetSuite account by entering your account number and clicking on Connect. This will then redirect you to your NetSuite login screen where you can enter the credentials or use SSO whichever login method is set for your NetSuite account, select a role you want to work with. Once done, you can now use this connection in the add in. You can also add new connections by selecting the Connections option in Left Menu and clicking on Add. You can either connect to same NetSuite account and different role or completely different NetSuite account. There are no restrictions on the number of connections you can create. You can also rename your connections to have a more user-friendly name.

  • Global Search

    We have a global search bar now which you can use to quickly search for NetSuite records and associate either One time or for Autopilot. This would mimic NetSuite global search and would return you results that NetSuite would return in its global search. This search bar also allows you to select multiple matches at once and select them for association.

  • Support for Additional Record types and Custom records

    Beta version will now support searching and associating to custom records in your NetSuite account. It also comes with support for some additional standard record types that are not supported in current version. Full list of supported record types can be found here.

  • Shared Association History

    Having an email associated multiple times by different users in an organization was a genuine concern. With this release, users will now be notified if the email they are trying to associate has already been associated with NetSuite records. If they have permission to view those records, then they can see that as well else they would just be shown an indication that this email was already associated. Purple colour indication is used to show that this email was already associated by someone else in the organization to these NetSuite records.

  • Improved UI for Autopilot

    With the new UI it's easy to set a thread or email based on Autopilot. It also gives users a warning before they set something on email Autopilot so that they are aware of the automation they are going to set. This will to some extent minimize the number of emails getting attached to wrong NetSuite record.

    Note: In future we will be releasing admin level controls where admin can decide which user can have access to Thread Autopilot and Email Autopilot and turn off Thread AP or Email AP at org level

  • Dependent Records setting for improved performance

    This setting was added so that the available records for a given contextual email loads faster. By default, 25 related records for each record would be fetched. User can turn this setting on, but it might result in longer load times if there are many dependent records for a given record in NetSuite.

  • Improvements to Creating Records from the add in

    New and improved UI for Creating records from within the add in. We also have added support for new record types that you can create from the add in. For instance, you can now create Support Cases right from within the add in without having to go to NetSuite. For records that do not support Create from the add in Create from NetSuite link is provided so that they can quickly navigate to NetSuite from the add in. There are also improvements made to Configure fields view where you can mark fields as mandatory based on your custom forms and add or remove fields from the Create Record form.

  • Improved UI for your Asynchronous Associations

    Messages with attachments will be processed using asynchronous mode, enabling users to save valuable time by not having to wait for associations to be completed before working on their next email. To check the status of associations, users can utilize the provided check option within the app. Pending association records will be indicated in amber, and once associated, they will be shown in green, ensuring a streamlined workflow and improved productivity.

  • Record Details visible for each Available record

    Users can now view additional information related to Available records by hovering over the record name like name, email, phone number.

  • Themes

    Users have the option to change the theme of the app to dark mode or light mode in the new version. We also have predefined colours for NetSuite connections – Orange theme for Sandbox connections, Green for Production and Blue for Test drive connections so that the user is always aware of the connection they are in context of and to which NetSuite account the updates are being pushed.

  • Performance Improvements

    The infrastructure and the frameworks we use to build the app have been upgraded. There should be a significant improvement in app responsiveness and its performance.

  • Better visibility for admins to see Email Autopilot and Thread Autopilot based associations in NetSuite

    If you are an admin, this feature will be of immense help to you. Once you install the SuiteApp that is required for you to try out the beta version, a saved search will be automatically created in your NetSuite account named CloudExtend MailApps - Usage Metrics that would help you track the number of associations: Manual, Email Autopilot based, and Thread Autopilot based for all your users. This will help you see which users are using the automation using CloudExtend and associating mails to NetSuite records.

What's missing in the Beta version:

  • Status logs - Status logs for your async associations or Autopilot associations are right now not there in beta but will be coming soon in future release.

  • Beta is not available for User Edition users - Right now only Enterprise and Group Edition users will have the option to try out the beta application. Support for Personal edition users to try out the beta application will be coming soon in a future release.

  • Recently Updated records section - This section is not present on the home page for new app. This will be part of the new app based on the feedback we get.

  • Beta version not available in new window when composing an email or event - Beta version will not be available in new window that pops up when you compose a message or event. This issue will be resolved when we move out of beta and all users have access to the new application only.

  • Fixed an issue where the external id was not being populated for events and messages in Compose mode: There was an issue where external id was not being populated when we associate emails or events to NetSuite records in Compose mode via the add in. This was causing emails attached by CloudExtend to be undercounted in admin dashboards. This is fixed now, and external id should be populated for such mails and events.   • Fixed UI issue with a confirmation dialog in Auto Associations view: There was an issue where when trying to remove an Email Association to NetSuite record in Auto Associations view, if the record name was long the Yes/No options were not visible to user. This is fixed now.

  • Record Search View Autopilot 2.0 support: During the initial release of Autopilot 2.0 the ability to set an email address or an email thread to autopilot in the Record search view was not supported. With the new release, users are now able to set a thread or an email address on Autopilot using the search result screen by searching for specific records using the Search icon.

  • View all records view Autopilot 2.0 support: Before Autopilot 2.0 users were able to expand and see all the record suggestions when there are multiple suggested records available and to set Autopilot from that screen. This was not possible with the release of Autopilot 2.0. This oversight has been addressed with this release.

Enhancements:

  • New best practice guide: created to help you understand more about when to use each of the CloudExtend Autopilot options

  • Sticky behavior added to the Autopilot tab and options: We have introduced a sticky behavior for both the Autopilot tab and the options under the Autopilot tab.

    The sticky behavior works in the following way:

    • When the user loads the add in for the first time after this fix is rolled out, the One-Time tab would be selected by default. Also, if the user clicks on Autopilot, inside that Updates to this thread option would be selected by default.

    • Once the user selects the Autopilot tab, it becomes sticky. If you switch emails or close the app the next time you use it the previous settings will be remembered. The same behavior applies to the dropdown options in the Autopilot tab, ie To/From/CC and Updates to this thread. If you select it once they remain sticky.

    • Similarly, if you select One Time tab once, that will remain sticky and on each email the same tab would open.

Note: Sticky settings are stored in browser's local storage. If at any point the local storage is cleared, the default behavior would apply which is 'One-Time'.

Deprecations:

  • Login with Basic Credentials would not work

    NetSuite has deprecated the ability for users to log into NetSuite with a username and password (except for the standard user interface, i.e., www.netsuite.com). From the CloudExtend Outlook for NetSuite v4.0.0 onwards, users will no longer be able to log in using basic credentials. (Learn how to fix this).

Autopilot 2.0 (for customers with our Enterprise Edition)

Autopilot 2.0 is the latest release of Autopilot, our most-used enterprise feature. In addition to all the capabilities of Autopilot 1.0, the latest version of Autopilot can now be email-based—instead of tracking an email thread, you can now put the sender or recipient email address on Autopilot.

  • Set email address to be automatically synchronized

    • When you receive an email, you will now be able to monitor all future communications to or from a specific email address and have that email attached to just the right NetSuite records with zero clicks. For example, jess@suiteup.com sends an email. You can have every single email to or from jess@suiteup.com sync to one or more NetSuite records. You would only need to set it once.

  • Single screen to view and remove all the Autopilot 2.0 associations

    • Users can simply navigate to a central location where they can search for an email address set for automatic synchronization and see the NetSuite records they are associated with. Users can also remove the email address and its associations so further emails from that email address will not be automatically synchronized with NetSuite.

  • Autopilot Status Log

    • Autopilot Status Log view is updated to allow users to view the status of all Autopilot syncs. The feature includes a new sub-tab under Autopilot to keep track of Autopilot-enabled activities, i.e., thread-based and Autopilot 2.0 (to/from) associations. The CloudExtend add-on will display the status of the association, ie successfully synchronized, pending, or failed to synchronize.

  • Stay on top of what’s happening with your emails with intuitive and simple user experience

    • Visual cues enable users to see right away if the email is on Autopilot, thus saving valuable time, eliminating redundant clicks, and ensuring that everyone in the organization has access to this communication in NetSuite.

What Has Changed in this Release

This release does not contain any feature enhancements, feature deprecations, and feature removals.

Known Issues

  • In Autopilot 1.0, users were able to set a thread on Autopilot using the search result screen by searching for specific records using the Search icon. However, for this release users will not be able to set Autopilot from the search screen. This is a temporary limitation, and this will be fixed in the next release.

  • With Autopilot 1.0 users were able to first associate the email with attachments and then set it for Autopilot. With the new release, users will not have that option for emails synced via an email address. As a workaround users can forward the email to themselves and then associate it to NetSuite with attachments. We are working on a fix for this which will be available in a future release.
