Use this guide to learn what each button does and how to navigate the ExtendSync interface.

With just a few clicks, you can save emails to NetSuite, create or edit records, and send messages directly from Outlook β€” all without leaving your inbox.

Save Emails to NetSuite Records

πŸ’‘ Tip: ExtendSync automatically detects matching NetSuite records using email addresses or transaction IDs in the subject line.

1 - Pin button, keeps ExtendSync app in Outlook

2 - Click Menu > Settings, this will also allow you to set the Filter search results

3 - Create New Records (Header)

5 - Choose if you wish to save as One-Time or Autopilot (Enterprise Only)

6 - Attach file or inline image to all selected records

7 - List of records in NetSuite based on the email addresses or transaction ID in the subject line (at least 4 digits)

8 - Create New Records (Associated to Section)


Visual Indicators when using Autopilot for Emails

Thread-Based Autopilot

Email Address-Based Autopilot

Global Autopilot ⭐ (Enterprise)

When your organization uses Global Autopilot, you will see additional indicators in the ExtendSync panel:

  • 'Global Autopilot Enabled by Admin' label β€” appears on emails that are being synced automatically by Global Autopilot. This indicates the sync was configured by your admin, not by you individually.

  • 'View Rules' button β€” appears alongside the label and allows you to see the domain rules and sync configuration your admin has set up. This is read-only for end users.

πŸ’‘ If you see the 'Global Autopilot Enabled by Admin' label, no action is needed β€” your emails are already syncing to NetSuite automatically. Contact your admin if you have questions about which emails are included or excluded.


Compose Mode

After composing your email, send it as usual, then navigate to your Sent Items folder.

πŸ’‘ Tip: Go to your Sent Items to save previously sent emails, sync attachments, or activate Autopilot to sync future emails moving forward.

Create or Edit Records with ExtendSync

ExtendSync allows you to create, edit, or view supported NetSuite records directly from Outlook.

Create a New Record

You can start a new record in two ways:

1 - From the ExtendSync header β†’ click + New Record

2 - From the Available Records section within the add-in

Edit Existing Records

  • Hover over the record name β†’ click the ✏️ Pencil icon to edit.

  • Click View in NetSuite to open the record in a full browser tab.

πŸ’‘ Tip! On clicking edit, ExtendSync will open the record for editing directly in the extension if it is a supported record type; otherwise, the record will open in NetSuite for editing.

Configure Field Options

When creating or editing records, use the βš™οΈ Configure Fields button to adjust your view.

1 - Configure the fields you want to add/remove

2 - Update the form settings

3 - Clear data in the current form

4 - Save Record to NetSuite

Using Create from NetSuite

If a record type isn't available directly in ExtendSync:

  1. Toggle Create from NetSuite ON.

  2. You'll see a full list of custom and standard record types available in NetSuite.

  3. Choose a record type β†’ ExtendSync opens the NetSuite creation form in your browser.

πŸ’‘ This is especially useful for creating custom records not yet supported in ExtendSync's native form.


Send from Outlook Feature

Send emails directly from NetSuite using Outlook β€” ensuring both systems stay synced.

  1. Open a record in NetSuite.

  2. Click Email using CloudExtend.

  3. Compose your message.

  4. Click Send from Outlook.

Your email will appear:

  • In NetSuite under Communication β†’ Messages

  • In Outlook Sent Items, saved as a thread-based autopilot for Enterprise or as a one-time for Starter Edition.
