Overview
When you use ExtendDocs to save email attachments or other files, those files are not stored in the NetSuite File Cabinet. Instead, ExtendDocs securely stores them in OneDrive or SharePoint and links them back to NetSuite records.
This approach keeps your files:
Secure and accessible in Microsoft 365
Outside of NetSuite’s storage limits
Centrally managed using familiar Microsoft permissions
Clicking a file name in NetSuite → Communication → Messages opens the file directly from OneDrive or SharePoint for seamless access.
Recommendation
For the best visibility of files and folders in NetSuite, deploy the CloudExtend Files tab.

How Files Appear in NetSuite
Messages Tab
NetSuite displays secure hyperlinks to files stored in OneDrive or SharePoint.
Clicking the link opens the file in Microsoft 365 (subject to user permissions).
CloudExtend Files Tab
Files and folders linked to the record appear in the CloudExtend Files tab.
Each entry includes a direct link to the file or folder.

Auto-Create Folders Only (If Enabled)
If Auto-Create Folders is enabled:
ExtendDocs automatically creates a folder in OneDrive or SharePoint when a NetSuite record is created or viewed.
The folder link appears in the CloudExtend Files tab for easy navigation and organization.

Why ExtendDocs Does Not Use the NetSuite File Cabinet
ExtendDocs intentionally stores files in OneDrive or SharePoint to:
Avoid NetSuite File Cabinet storage limits
Improve file sharing and collaboration
Leverage Microsoft 365 security, versioning, and access controls
Keep large files out of NetSuite while maintaining record-level visibility
NetSuite acts as the system of record, while OneDrive/SharePoint acts as the system of storage.
