Admin: Enable ExtendDocs Auto-Create Folders (No Email Sync)

Overview

This guide walks administrators through configuring ExtendDocs Auto-Create Folders without syncing email attachments from Outlook.

Use this setup if your organization wants to:

  • Automatically create and link folders in OneDrive or SharePoint when NetSuite records are created or viewed, and

  • Manage files externally without syncing Outlook email attachments or using NetSuite File Cabinet storage.

ExtendDocs configuration is only supported in the new subscription portal:

Who is required for the initial setup?

Enabling ExtendDocs Auto-Create Folders typically requires up to three roles (these may be the same person):

  1. The admin assigned to login to https://portal.cloudextend.app/

  2. A user with admin rights to your Microsoft 365 environment

  3. A user with NetSuite admin rights


Prerequisites

  • ExtendDocs subscription

  • OneDrive or SharePoint selected as your storage platform

  • Users have appropriate NetSuite + M365 permissions


NetSuite Configuration Steps

Step 1: Enable SOAP Web Services and Token-Based Authentication

Step 1: Go to Setup β†’ Company β†’ Enable Features

Step 2: Go to the SuiteCloud tab.

Step 3: In SuiteTalk section, Enable check box for SOAP Web Services

Step 4: In Management Authentication section, enable check box for Token-Based Authentication.

Step 2: Install the CloudExtend Bundle

  1. Go to Customization β†’ SuiteBundler β†’ Search & Install Bundles

  2. Search for 244864

  3. Install the bundle

Step 3: Install the CloudExtend SuiteApp

  1. Go to SuiteApps

  2. Search for CloudExtend

  3. Install the latest CloudExtend SuiteApp

Step 4: Deploy the CloudExtend Files Tab (Recommended)

By default, the Files tab appears on Customer and Contact records.

Deploy it to additional record types where users should see file links and folders.

Step 5: Review Auto-Create Folder Script

To support automatic folder creation and linking, deploy the script to your target record:

CloudExtend MailApps-RecordFolder Export

➑️ Review the record types where Auto-Create Folder is already enabled.


CloudExtend Portal Configuration Steps

Step 1: Login to CloudExtend Portal

  1. Go to Subscriptions β†’ CloudExtend ExtendDocs

  2. Go to Configuration > Autocreate folders in OneDrive (B).

ℹ️ Important
Do not enable Sync Email Attachments to OneDrive/SharePoint (A) for this setup.

Step 2: Request Consent, Authorized and Verify Connections

Complete the following steps in sequence:

  1. Request consent for Microsoft Graph Admin.

  2. Authorize to NetSuite for organization.

  3. Verify NetSuite if SuiteApp has been installed.

If the SuiteApp is not installed, follow the installation guide before proceeding.

Step 3: Select Folder Structure

Choose how folders should be created in OneDrive or SharePoint.

Record-based

  • Folders created per record type

  • Subfolders and files stored under each record

Customer-based

  • Customer is the parent folder

  • All child records stored beneath the customer

Step 4: Set Default Folder Location

This the configuration on where folders will be automatically created.

Set a default OneDrive/SharePoint location for NetSuite files with optional locations for different record types.

A) Choose the folder to set the default folder location of the files and folders on OneDrive or SharePoint.
B) Click Add, if you have a record that needs to have a separate folder location. (This is optional)
C) Once done, click Next then Save.

Step 5: Enable Auto-Create for Users

  1. Go to Feature Assignment

  2. Enable Auto-Create Folders for:

    • All users, or

    • Selected users

  3. Save.

⏱ Changes may take up to 1 hour.


What Users Will See

  • Folders automatically created in OneDrive or SharePoint

  • Folder links visible on NetSuite records via the CloudExtend Files tab

  • Files stored externally without using NetSuite File Cabinet storage
