FAQ: Internal Only Event Setting in Calendar Edition

ExtendSync Outlook | Save an event from NetSuite without notifying the external attendees

When an event is created from NetSuite,an email notification were sent out to customers even if the Notify attendees by email was turned off.


Why It Happens

Currently, the Microsoft API does not provide a supported method to fully suppress email notifications when calendar events are created, updated, or synced through third-party integrations like ExtendSync.

As a result, attendees may continue to receive update or invite emails when events are modified in Outlook or synced to NetSuite.


Resolution

To address this, ExtendSync introduced an Internal Only Event script that stops external notifications when syncing events from NetSuite.

A new custom field called Internal Only Event is included in the ExtendSync Outlook bundle. This field is displayed in the Custom subtab of the Event record.


NetSuite administrators must enable this field in the CRM Forms setup for it to appear and function properly.


How to Enable Internal Only Event Checkbox in NetSuite

  1. Access CRM Fields Configuration:

    • Navigate to Customization β†’ Lists, Records, and Fields β†’ CRM Fields.

    • Search for the field labeled "Internal Only Event."

    • Open this field.

Step 3: In the Custom CRM field Page click on Apply to Forms.

Step 4: In the Apply Custom Field Forms page:

  • Check Show box to enable the Internal Only Event custom field to selected custom form.

  • Set Display Type to Normal.

Step 5: Inform users that the Internal Only Event field is now available, and test by creating a new internal event.


What happens if the Internal Only Event is Enabled?

Once the steps above have been configured, this is what will happen to the future events created in NetSuite if the Internal Only field is marked: This feature also allows users to maintain external attendees in NetSuite for record-keeping purposes while ensuring they are not notified of internal updates.

  • Once its saved and event syncs to Outlook, the external attendees won't be added in Outlook.

  • Attendees of type Employee in your NetSuite account will be added in Outlook.

  • When you make changes to the Outlook event, the attendees list in Outlook will NOT override the list of attendees in NetSuite. The external attendees in NetSuite would be preserved.


Best Practices

  • Use Internal Only Event for team meetings, internal reviews, or confidential calendar entries.

  • Always inform users about the new checkbox so they can select it when creating internal events.- Use this feature to add internal meeting notes without involving external attendees.

  • Apply the checkbox for streamlining collaboration while maintaining appropriate boundaries with external contacts.
