Calendar Autopilot: Save an event from NetSuite without notifying the external attendees (Internal Only Event)

When calendar events are created in NetSuite and synced to Outlook, external attendees may receive email notifications even if notifications are disabled in NetSuite.

To address this, ExtendSync introduces the Internal Only Event feature, which allows organizations to sync events to Outlook without notifying external attendees, while still keeping those attendees listed in NetSuite for record-keeping.

This feature is implemented via a custom field included in the ExtendSync Outlook bundle.

🚨 Important

If the Internal Only field is not showing, it must be enabled by a NetSuite Administrator before users can use it.

Meetings initially created with the internal flag unchecked will sync the external employees to Outlook and, because they exist in Outlook, they will continue to receive updates. Removing the external attendees from Outlook would then have the adverse effect of removing them from the NetSuite event as well.

You can manually fix this by doing the following:

  1. Make a copy of the original event and mark it internal only before saving.

  2. Delete the original event

What Happens When Internal Only Event is enabled?

  • Once it's saved and event syncs to Outlook, the external attendees won't be added in Outlook.

  • Only attendees of type Employee in your NetSuite account will be added in Outlook.

  • When you make changes to the Outlook event, the attendees list in Outlook will NOT override the list of attendees in NetSuite. The external attendees in NetSuite would be preserved.


How to Create an Internal-Only Event from NetSuite

  1. Open the relevant NetSuite record

  2. Go to Communication β†’ Activities β†’ New Event

  3. Complete the event details as needed

  4. Go to the Custom tab

  5. Check Internal Only Event

  6. Save the event.

Use Internal Only Event for:

  • Internal team meetings

  • Reviews or planning sessions

  • Confidential or sensitive calendar entries

  • Adding internal notes or activities without notifying customers or partners

  • Educate users on when to use the Internal Only Event checkbox

  • Apply it consistently for internal-only meetings

  • Use it to maintain accurate NetSuite records without triggering unnecessary notifications
