This article explains the current behavior of Calendar Autopilot when it encounters internal meetings, private events, or recurring internal meetings and what options are available today.
Why Customers Ask This
Many teams use Calendar Autopilot to automatically sync customer-facing meetings into NetSuite as Activities. However, they want to exclude internal meetings especially recurring ones like weekly sales standups or team syncs from being tracked in NetSuite.
Current Behavior
Calendar Autopilot does not offer rule-based filtering to exclude meetings based on:
Keywords in the meeting title or description
Attendee domains (e.g., only sync meetings with external guests)
Recurring meeting patterns
Meeting organizer
⚠️ Private Outlook events are still synchronized to NetSuite. Marking an event as Private does not prevent Calendar Autopilot from syncing it.
What You Can Do Today
Since filtering options are not yet available, the following workarounds may help:
Option 1: Use the Internal Event Feature
When creating an event in NetSuite, this will allow organizations to sync events to Outlook without notifying external attendees, while still keeping those attendees listed in NetSuite for record-keeping.
Option 2: Change the Access Level of Internal Meetings to Private
Even if this will still be synced to NetSuite, the details will not be shown to other users and will just appear as Show as Busy.
Option 3: Delete synced Activities manually in NetSuite
If an internal meeting syncs unintentionally, it can be deleted from the NetSuite Activity record.
