Troubleshooting: Global Autopilot Can’t Create a Contact for a Restricted NetSuite Role

ExtendSync Outlook | Resolve standalone Contact creation failures in NetSuite OneWorld

This article explains what happens when Global Autopilot creates a Contact without a matching parent company in a NetSuite OneWorld account.

Error Message

Global Autopilot fails to create a standalone Contact, and the Logs view shows this NetSuite error:

You can add a subsidiary to an entity only when you have access to the subsidiary.

Why this happens

NetSuite OneWorld requires a subsidiary when creating a Contact. If the user’s NetSuite role cannot access the subsidiary NetSuite attempts to assign, NetSuite rejects the Contact.

How to Resolve the Issue

Starting with ExtendSync Outlook version 5.0.2.1, Global Autopilot assigns a subsidiary to a standalone Contact using this order:

  1. The user’s employee subsidiary, if their role can access it.

  2. Otherwise, the first subsidiary their role can access.

  3. If their role cannot access any subsidiaries, Global Autopilot does not create the Contact and displays an error in the Logs view.

End Users

  1. Confirm that ExtendSync Outlook is running version 5.0.2.1 or later.

  2. Open the Logs view and review the error for the failed Contact.

  3. If the error continues, contact your NetSuite administrator. The role may not have access to any subsidiaries.

NetSuite Administrators

Review the user’s NetSuite role and confirm it can access at least one subsidiary. If the role has no accessible subsidiaries, Global Autopilot cannot create the standalone Contact.

Verification

After the role has access to a subsidiary, retry the failed item from the Logs view. Confirm that the Contact is created in the expected subsidiary.

Best Practices

  • This behavior applies to standalone Contacts in NetSuite OneWorld. Accounts that are not OneWorld are not affected.

  • Contacts created under a matched parent company continue to inherit that company’s subsidiary.

  • A default subsidiary configured by your administrator continues to apply.

  • If a role has access to all subsidiaries, standalone Contacts are now created in the user’s employee subsidiary instead of the root or primary subsidiary.
