Auto-Association is the mechanism behind Email Address–Based Autopilot in ExtendSync for Outlook NetSuite.
When you enable Autopilot for a specific email address, ExtendSync saves that relationship in its Auto-Association database.
This allows you to:
See which NetSuite records an email address is linked to
Remove Autopilot associations when they're no longer needed
⚠️ Availability:
Auto-Association management is available to Enterprise users using Email Address–Based Autopilot.
🌐 Note: Global Autopilot uses a different auto-association model ⭐ Enterprise
The auto-association behavior described in this article applies to user-managed Email Address–Based Autopilot, where individual users configure associations from the ExtendSync add-in.
Global Autopilot matches NetSuite records based on admin-configured rules in the CloudExtend portal — not user-managed associations.
These rules may include domain matching, record type preferences, and contact auto-create settings. End users cannot view or modify Global Autopilot's auto-association rules; those are managed exclusively by admins.
What Is Auto-Association?
When an email address is placed on Email Address–Based Autopilot:
ExtendSync records the email address and its associated NetSuite record(s)
All future emails to/from that address are automatically saved to those records
The association remains active until you remove it
Auto-Associations can be reviewed and managed at any time.
How to View or Remove Auto-Associations
Follow these steps to manage Email Address–Based Autopilot rules.
Step 1: Open the Autopilot Settings
In the ExtendSync panel, click the Menu (☰) icon.
Select Settings → Email Autopilot Associations.
Step 2: Search for the Email Address
In the search bar, enter the email address you want to manage.
Click the matching result, and this will open a detailed view showing:
✅ The list of NetSuite records that the email address is currently associated with.
🗑️ Options to remove those associations.
Step 3: Remove or Turn Off an Email Address Association
Hover over the 🗑️ trash icon next to any record you want to disable Autopilot for.
Click the icon to remove the link between that record and the email address.
After removal, any future emails from that address will no longer be automatically associated with those records
💡 Notes:
You can perform a wildcard search using partial text to find multiple addresses quickly.
Examples:
@companyname.com.org.edu
ExtendSync searches across all stored associations and returns all matching results.
