Licensing: Manage ExtendInsights Analytics Licenses and Administrator users

ExtendInsights Analytics | Manage users and licenses in the CloudExtend portal

This guide explains how administrators manage ExtendInsights Analytics for NetSuite licenses and users for subscriptions using the CloudExtend portal.


Login

  1. Sign in with your Microsoft ID (usually your Microsoft 365 email address provided to your Customer Success Manager).


Add Admin Users

If you are the Super Admin (primary admin), we recommend adding at least one additional admin.

  • The Super Admin is assigned to the billing email address used when CloudExtend was first configured.

  • Super Admin, Admin, and Config Admin roles do not require a subscription license.

  • If you need to update the Super Admin information, please contact your Customer Success Manager (CSM).

  1. From the navigation pane, select Users.

  2. Click Add User.

  3. Enter the following details:

    • First Name

    • Last Name

    • Microsoft account email address

    • Subscription

    • Role ( Admin, Config Admin)

  4. Click Add User.

Allocate Licenses

The Users page shows all user accounts, subscriptions, and roles. From here, you can:

  • Add new users individually or in bulk(coming soon).

  • Search for users.

  • Assign or configure licenses.

Add Users

  1. From the Users tab, click Add User.

  2. Enter the following:

    1. First Name

    2. Last Name

    3. Adminโ€™s Microsoft account email address.

    4. Subscription

    5. Role (User, Super Admin, Admin, Config Admin)

  3. Click Add User once done.

๐Ÿ“Œ If your organization uses Microsoft 365, your 365 Admin can also install the app centrally.


Update User or Subscriptions

Modify CloudExtend user's profile.

  1. From the Users tab, click on the pencil icon of the user to update.

  2. Admins can update:

    1. Email Address

    2. Subscription

    3. Role (User, Admin, Config Admin)

    4. Click Save once done.

Remove User

Use the trash icon to unassign CloudExtend licenses from users.


Verification

License management is working correctly when:

  • Admins can log in to the CloudExtend portal

  • Admin users appear correctly in Admin Users

  • Licensed users appear under Manage Licenses

  • End users receive onboarding emails after license assignment


Best Practices

  • Maintain at least two CloudExtend admins

  • Always assign licenses using Microsoft or Google email addresses

  • Remove licenses promptly when users leave the organization

  • Review license usage regularly to avoid over-allocation
