By default, ExtendSync suggests records based only on email address matches between Outlook and NetSuite.


This means that the Available Records section displays results that match the email addresses found in the To, From, and CC fields of an email.

If a contact in NetSuite uses a different email address than the one sending or receiving the message, their record won’t appear in the suggestions, unless you enable the Include Names in Suggestions feature.


How It Works

When Include Names in Suggestions is enabled, ExtendSync expands its matching criteria to also search by name in addition to email address.

This allows ExtendSync to display records in the Available Records section even when the sender or recipient’s email doesn’t match exactly but their name does.

Example

You receive an email from John Smith at john@externaldomain.com, but in NetSuite, his record is saved as john@acme.com.

  • Default behavior (email-only matching): The John Smith record does not appear in the Available Records list.

  • With Include Names in Suggestions enabled: ExtendSync detects the name match (“John Smith”) and displays his record from NetSuite, even though the email addresses don’t match.

💡 Tip: This feature is especially useful for contacts who use multiple email addresses or when your organization frequently communicates with external aliases.


How to Enable Include Names in Suggestions

  1. In Outlook, open the ExtendSync add-in.

  2. Go to Menu → Settings.

  3. Under the Available Records section, select Advanced Options.

  4. Toggle Include Names in Suggestions to ON.

Once enabled, the Available Records list will include NetSuite records that match the names of senders or recipients, even if their emails don’t match.
