Manage Records: Add or remove fields when creating or editing records using ExtendSync Outlook

ExtendSync Outlook | Learn how to configure native and custom fields for supported record types

Updated this week

ExtendSync for Outlook allows you to customize which fields appear when creating or editing NetSuite records — including native and custom fields.

This flexibility helps you tailor the experience for your workflow, saving time and improving data accuracy without leaving Outlook.

How to Add or Remove Fields in ExtendSync

Step 1: Hover over the record name in the Associate to section.

Step 2: Click the pencil icon to edit the record.

Step 3: Click the Configure record button.

The Configure Record button is available when creating or updating records in ExtendSync.

Configure Record Options

When configuring fields, you’ll see four main actions inside the ExtendSync form:

Action

Description

1️⃣ Configure Fields

Add or remove fields you want displayed on the record form.

2️⃣ Clear Data

Reset the current form data.

3️⃣ Save Record

Save your updated record directly to NetSuite.

4️⃣ Update Form Settings

Save and apply your preferred field configuration for future use.

💡 Tip:
If the record type supports inline editing, ExtendSync will open it directly in the app.
Otherwise, clicking Edit opens the record in NetSuite’s Edit Form in your browser.

Troubleshooting: Missing Fields or Permissions

If you don’t see all the fields you expect in ExtendSync, it’s likely related to your NetSuite role permissions.

For Users

Custom NetSuite roles often restrict visibility to custom fields unless explicitly granted access.

Try these steps:

  1. Switch to a different NetSuite role and reload the app.

  2. If the fields still don’t appear, contact your NetSuite Admin and share the section below with them.

For NetSuite Admin

To ensure ExtendSync users can view and manage custom fields, verify that their role has at least View permissions for the following objects.

Under Setup Tab

Custom Body Fields

Custom Column Fields

Custom Entity Fields

Custom Fields
Custom Item fields

Custom Lists
Custom Record Types
Custom Sublist fields
Custom Sublists fields
Custom Transaction Fields

Customer Status (Optional, only when creating customer, prospect, or leads)

Custom Item Number (optional, for Item number custom fields)

Custom Event Fields (optional, for support case custom fields)

Under List Tab
Custom Record Entries

After Updating Permissions

  1. Ask the user to reload the ExtendSync add-in (sign out and back in).

  2. Allow 15–20 minutes for permission changes to propagate to their role.

  3. If fields are still missing, try again after waiting or contact CloudExtend Support.
